POSITION SUMMARY:
Assists in the dealership financial preparation and implementation controls to ensure compliance. Analyzes and organizes office operations and procedures such as bookkeeping, preparation of payrolls, information management, filing systems, requisition of supplies, and other administrative duties.
DUTIES AND RESPONSIBILITIES:
Assists in interviewing and hiring of Office Staff (includes employee reviews)
Assists in reviewing and transmitting funds
Assists in reviewing and signing company checks
Assists in reviewing and signing all funding contracts for lenders
Assists in reviewing, coding and entering parts invoices and other invoices/credits
Adjusts warranty and service contract repair orders according to approved payment
Reconciles and replenishes petty cash
Collects NSF funds; turns over applicable items to legal counsel for collection
Corrects and posts PID errors for documents not posted by system
Assists in formulating procedures for systematic retention, protection, retrieval, transfer and disposal of records
Discusses with clerical staff and reviews work performed regarding the portions of their jobs relating to handling and processing documents required by law.
Reviews documentation which relates to the handling and processing of documents.
Participates in dealership compliance training courses in order to learn and understand the federal, state, and local laws which govern retail automobile sales.
Attends weekly conference calls and meetings to discuss compliance issues.
Prints off scheduled accounts and disperses to responsible employee; follows-up with employee to review items on schedule; make necessary corrections.
Enters monthly commissions and settleups into payroll program for processing
Assists in reviewing weekly/salary payroll before it is processed
Enters payroll GL reports into accounting system
Prepares and process bi-monthly/quarterly sales tax deposits
Assists with month-end close
Assists in completion of annual/review/audit
Liaisons with customers and outside vendors
Lends support to all department managers
MANAGEMENT RESPONSIBILITIES: Supervises and coordinates overall office staff functions. Responsible for interviewing, hiring and managing office staff including completion of performance evaluations.

EDUCATION and/or EXPERIENCE: A high school diploma and knowledge of bookkeeping procedures is a must. The ability to use 10-key and other office equipment, including computer and computer accounting software. 4-6 years of previous applicable work experience. Associates degree preferred. Advanced knowledge of Microsoft Office products.
COMPUTER SKILLS:Inventory Control Software, internet, Microsoft Office Products
PHYSICAL DEMANDS:While performing the duties of this job the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee needs ability to sit and work at a computer for long periods at a time. Ability to lift up to 25 pounds.
WORK ENVIRONMENT: Office environment but must be able to move throughout dealership to collect information.
