We are seeking a highly motivated and versatile Training Administrative Assistant to join our team. This role is perfect for someone who thrives in a dynamic environment and enjoys taking initiative. As a key player in our training department, you will help increase employee engagement with our learning platforms and support the growth of our development programs. The ideal candidate will be a proactive problem-solver with strong project management skills, capable of working independently and anticipating the needs of the department.

Job Functions

  • Supports the training team in planning, coordinating, and maintaining records of training programs.

  • Coordinates instructors, guest speakers, and training venues for various learning events.

  • Acts as the backbone of the department, ensuring smooth operation and high-quality delivery of all training-related activities.

Responsibilities

  • Promote Training and Development Services: Actively promote our training programs through various marketing activities, including in-person demonstrations and digital marketing campaigns.

  • Manage Training Platforms: Set up and manage internal training web pages, including adding/removing content, creating visually appealing layouts, posting updates, and driving engagement.

  • Coordinate Learning Events: Organize and coordinate training events, including scheduling classes, booking venues, arranging instructors and guest speakers, and ensuring all logistics are handled smoothly.

  • LMS Management: Utilize our Learning Management System (LMS) to schedule classes, maintain training records (e.g., trainee rosters, schedules, attendance), and distribute course certificates.

  • Participant Support: Serve as a primary point of contact for training participants, addressing inquiries, and providing guidance on available training resources.

  • Administrative Support: Handle administrative tasks such as answering emails, ordering supplies, handling billing/invoicing related to training, and maintaining training records.

  • Independent Problem Solving: Identify potential issues before they arise and take proactive steps to address them. Demonstrate the ability to work independently, manage multiple tasks, and adapt to changing needs.

  • Report Generation: Create reports to analyze employee engagement with training programs, including tracking participation rates and feedback.

  • Event Management: Coordinate and set up appointments for one-on-one career development discussions and help employees create development action plans.

Qualifications

  • Strong critical thinking skills with the ability to anticipate and solve problems independently.

  • Excellent organizational and multitasking abilities, with a keen attention to detail.

  • Outstanding communication and interpersonal skills, with a customer-focused approach.

  • Experience in managing web content and digital marketing is a plus.

  • Knowledge of Google Suite; experience with Learning Management Systems (LMS) or similar platforms is highly desirable.

  • Ability to work effectively under pressure and manage multiple projects simultaneously.

  • Proven track record of taking initiative and working independently in a fast-paced environment.
