Summary The position reports to the Department of Veterans Affairs 0,/A), Veterans Health Administration (VHA), Mid-Atlantic Health Care Network (VISN 6), Central Virginia VA Healthcare System (CWAHCS), Community Based Clinics, Fredericksburg Health Care Center (FXHCC), Nursing Service, Fredericksburg, VA The primary purpose of this position is to support the respective Chief Nurse, Nurse Managers, and Staff Nurses by performing a variety of clerical, administrative, and office support tasks. Responsibilities Major duties and responsibilities include but are not limited to: Administrative Support Duties Provides general administrative and clerical support such as responding to telephone inquiries, providing requested information about the office and other criteria as applicable. Coordinates and maintains Nursing office calendars; schedules and/or coordinates and records training, appointments, meetings, conferences, and/or workshops, and/or associated travel arrangements/processes for the supervisor and staff members; gathers subject matter material, reserves meeting spaces, necessary equipment and/or supplies, and arranges for refreshments and lodging as warranted. Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Composes, reviews, and edits a variety of letters, reports, and correspondence for accuracy and completeness; prepares public presentation outlines, graphics, and minutes; and develops standard or form letters to reply to inquiries. Receives telephone calls, greets visitors, and ascertains the nature of the calls or visits. Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Timekeeping, Leave, and Attendance Posts, examines, computes and balances hours on time and leave records and any of the other required bi-weekly, monthly, quarterly, and annual reports using the VATAS system. Interprets and applies regulations regarding appointment entitlement, leave earnings, charges of leave, posting legal holidays, leave without pay, advance sick leave, minimum charges, compensatory time, Continuation of Pay, sickness occurring while absent on annual leave, liquidation of advance leave, leave transfer program, authorized absence, court leave, excused leave, military leave, and leave in conjunction with travel. Performs leave audits on personnel with low leave balances or for questionable patterns of employee leave usage. Maintains files of timekeeping records via hard-copy paper or electronic files and assures all timekeeping records are accessible to Fiscal Service staff for periodic audits. Work Orders/LEAF Request Serves as the primary point of contact for work orders as they are received via telephone, email or through the LEAF or Vista programs. Performs other related duties as assigned. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/30/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Proficiency Requirement: Clerk-Typist, Office Automation Clerk/Assistant and Positions with Parenthetical Titles of (Typing), (Office Automation) Clerk-Typist, GS-2/4; Office Automation Clerk/ Assistant (any grade); (Typing) (any grade); and (Office Automation) (any grade): require 40 words per minute typing speed. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing clerical/administrative duties in an office environment; answering and directing phone calls; receiving visitors; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks; scheduling and managing a calendar of appointments. Use automated systems to manage payroll and timesheets. Utilizing fax machine and/or other office equipment to make copies. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school level in any field. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.
