Job Title: Administrative Assistant

Job Description

As an Order Processing Coordinator, you will take on a variety of sales, customer service, and relationship management tasks, aimed at supporting both internal and external customers. Your primary role will be to assist Educational Representatives in maximizing sales and margin. Responsibilities include facilitating educational representative pricing requests and product availability inquiries, assisting with quote and order tracking, monitoring sales conversion rates, following up on open quotes to close sales, and facilitating quotes and sales for Institutional customers outside of current markets. You will also stay informed on competitive market trends, work directly with manufacturers to determine product availability, and assist with the management of orders, invoicing, and customer service. Additional duties may be assigned as needed.

Hard Skills

  • 1-3 yrs of data entry

  • Tracking inventory

  • Typing 40+ wpm

  • Excel (basic knowledge of exporting and filtering)

  • Outlook (working knowledge)

  • Ability to work with Multiple Monitors and Systems

Work Site

This is a fully on-site position in Frederick, Maryland.

Work Environment

The position operates in a traditional office setting from 9:00am to 5:00pm with a 1-hour lunch break. 100% onsite. Communication with the team is key, especially in cases of lateness, sickness, or emergencies. You will be reporting to a new manager with over 7 years of experience and a director who values self-accountability. The broader team includes a VP, a manager, and two other long-tenured colleagues, one of whom is based in Arizona.
