Advocates Receptionist in Framingham, Massachusetts

Overview

$19.00/hour

The Receptionist provides general office support with a variety of clerical activities and related tasks. The Receptionist is responsible for maintaining a welcoming environment, answering incoming calls, directing calls to appropriate employees, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

The schedule is Monday through Friday 8:30am-5pm.

Minimum Education Required

High School Diploma/GED

Responsibilities

  • Responsible for the daily open and close of the office. Ensures reception area is neat and clean, conference rooms are in order, and doors are locked each evening.

  • Answers all incoming telephone calls and directs the caller to the appropriate individual. Provides callers with information such as company address, directions, fax numbers, and website.

  • Greets and directs all visitors to the agency.

  • Coordinates agency virtual fax system. Forwards all incoming faxes to appropriate parties.

  • Maintains conference room schedules for corporate office.

  • Receives, sorts, and forwards all incoming mail. Stamps and prepares all outgoing mail.

  • Coordinates the pick-up and delivery of express mail services.

  • Distributes checks to employees and clients. Ensures all checks are properly signed out.

  • Processes the daily deposit for accounts receivable. Ensures rent, transportation fees, donations and funds for individual programs and functions are credited to the correct cost centers.

  • Assists in the ordering, receiving, stocking, and distribution of office supplies.

  • Assists with clerical duties such as photocopying, faxing, and collating.

  • Attends and actively participates in supervision.

  • Perform all duties in accordance with agency’s policies and procedures.

Qualifications

  • High School Diploma or GED and 1 year experience in a customer service environment.

  • Must be able to perform each essential duty satisfactorily.

  • Excellent verbal and written communication skills. Familiarity with American Sign Language and/or willingness to learn preferred.

  • High energy level, superior interpersonal skills and ability to function in a team atmosphere.

  • Basic computer knowledge.

  • Must possess the ability to read and speak English.
