Within CSU , the Division of University Advancement is integral to achieving and sustaining the University’s institutional excellence through fundraising and engagement efforts. Our purpose is to connect our alumni, friends, corporations, and foundations to raise the financial support necessary to advance the University’s mission and vision. With one of the leading development teams in the country, the Division most recently reached its $1 billion fundraising campaign goal 19 months ahead of schedule.

University Advancement Engagement ( UAE ) is CSU’s alumni and donor experience team. This team provides comprehensive, purposeful engagement opportunities that increase Ram Pride, strengthen donor and alumni connections to the University and inspire philanthropy at CSU . This team is comprised of the Alumni Association, Annual Giving, Donor Relations and Stewardship, Marketing and Communications, and UA Events.

Position Summary

The Engagement Operations Coordinator plays an essential role in the overall success of the UA Engagement team. The coordinator will manage a wide array of the unit operations as well as support its leadership team. Responsibilities include project coordination, meeting management, Alumni Association donor/alumni communications, financial processes and day-to-day operations of the team. This position will continually strive to ensure an inclusive and welcoming environment for all members of the team.

Required Job Qualifications

  • Bachelor’s degree from an accredited university by employment start date

  • 2 years professional experience in an administrative or office management role

  • Experience with Microsoft Office Suite and an affinity for learning new technology

  • Demonstrates active engagement and support of diverse individuals, opinions and perspectives, and actively engages with and supports the University’s mission, vision and values.

  • Ability to work non-standard hours, including early mornings, evenings, and weekends

  • Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date

Essential Duties

Job Duty CategoryUnit Operations and Administrative Support

Duty/Responsibility

  • Support day-to-day operations for all UA Engagement teams located in Crabtree Hall and Smith Alumni Center.

  • Facilitate logistics for UAE departmental meetings, retreats and trainings, including venue, virtual technology (Teams/Zoom), catering, budget, agendas, presentations, meeting minutes and post meeting communication.

  • Administrative support of Sr. Director and other UAE unit leaders. Includes calendaring, travel arrangements, financial processing, project support, etc.

  • Administrative support for the CAM the Ram program. Manage requests, assist with meetings, selection process, trainings. Manage uniforms and purchases.

  • Assists with budget tracking and management for all teams, including assistance with processing financial documents.

  • Department liaison to UA HR team. Assist with searches, provide onboarding support for new employees and facilitate transition of employee departures.

  • Department liaison to UA IT team and manages technology needs for all UAE teams.

  • Assist Sr. Director with managing the reporting needs of UAE and supporting special projects.

  • Provide staff coverage for Smith Alumni Center open hours when needed.

  • Fully understands and applies appropriate policies, regulations, and procedures as required by the Division of University Advancement, University, community, state, etc.

  • Collaborate effectively with internal and external partners to accomplish job responsibilities and support the goals and objectives of the greater UAE team.

  • Actively participate in all Division-wide meetings and trainings and support Division-wide priorities and initiatives by serving on committees when appropriate and as time permits.

Duty/Responsibility

  • Manage the gift acknowledgement process for Alumni Association donations. Includes pulling reports, printing appropriate cards/letters, coordinating signatures, etc.

  • Maintain proficiency in the CRM systemascendin order to accomplish assigned tasks.

  • Manage special recognition communications of alumni, including memorial cards, congratulations cards, etc.

  • Assist the Alumni Association Membership team with administration of GradPaks, Annual, and Life membership communications as needed.

  • Assist with Alumni Association endowment reporting process.

  • Assist UAE leadership in appointment setting with donors and/or alumni.
