Job Title: Accounts Receivable Clerk- Construction Projects

 

Overview:

As an Accounts Receivable Clerk in our headquarters in Flushing, MI, you will play a crucial role in our company's financial operations by managing accounts receivable processes efficiently. Your responsibilities will include invoicing clients accurately and timely in AIA format, resolving billing discrepancies, and ensuring that cash flow remains steady through effective receivables management.

 

Responsibilities:

  • Invoicing: Generate and distribute accurate and timely AIA invoices to clients based on project milestones, contracts, and agreements.
  • Record Keeping: Maintain detailed records of all invoices, lien paperwork, bond requests, sworn statements, payments received, and outstanding balances in Foundation Software and client portals.
  • Cash Application: Reconcile discrepancies between payments received and invoiced amounts.
  • Collaboration: Coordinate with project managers, sales teams, and other departments to ensure accurate billing and resolve billing-related issues promptly.
  • Compliance: Ensure compliance with company policies, accounting standards, and regulatory requirements related to accounts receivable processes.
  • Process Improvement: Identify opportunities to streamline accounts receivable processes, enhance efficiency, and reduce billing errors.

     

Requirements:

  • Education & Experience: 2+ years of AIA experience with an Associate's or Bachelor's degree in Accounting, Finance or Business Administration, or equivalent work experience. Prior experience in accounts receivable or related financial roles, ideally in construction, is advantageous.
  • Technical Proficiency: Proficient in Microsoft Excel and Dropbox. Familiarity with construction accounting principles and job costing methodologies.
  • Communication & Organization: Excellent verbal and written communication skills are essential for interacting with clients and internal teams. Strong organizational abilities, attention to detail, and the capacity to manage multiple tasks efficiently in a fast-paced environment.
  • Analytical & Problem-Solving Skills: Ability to analyze financial data, identify trends, and resolve billing discrepancies independently.
  • Team Player & Adaptability: Collaborative attitude with the ability to work effectively within cross-functional teams. Flexibility to adapt to changing business needs and a willingness to learn new tools and processes.
  • Integrity & Compliance: Commitment to upholding confidentiality, ethical standards, and compliance with company policies, accounting regulations, and industry standards.
