Robert Half Administrative Assistant in Fernandina Beach, Florida

Description We are offering a contract for a permanent position as an Administrative Assistant located in Fernandina Beach, Florida. This role lies within the administrative industry and involves a variety of tasks related to customer service, data entry, and communication. The workplace environment requires adaptability and proficiency in various software applications.

Responsibilities

• Respond promptly to telephone calls, providing assistance to residents by addressing their queries and concerns.

• Welcome and assist visitors who arrive at the administrative offices.

• Manage community email addresses and respond to all inbound inquiries.

• Distribute mail after opening and reviewing it.

• Handle work orders related to landscape, maintenance, housekeeping, etc., which includes inputting, processing, and closing them as necessary.

• Keep track of residents' issues to help the Executive Director identify major problems or trends.

• Maintain Association files, mail, binders, and office supply inventory.

• Create and post various notices, including Board meeting notices, agendas, and committee meeting notices on the website and on-site.

• Update the website with board documents weekly and assist the Executive Director with all documentation related to board meeting and website production.

• Attend Board and some committee meetings, keep minutes & create/post newsletters and notices, as needed.

• Maintain homeowner roster, database, mail instructions, and homeowner files.

• Assist with homeowner welcome orientation, including processing warranty deeds, setting appointments, and preparing the conference room.

• Issue RFID stickers/renewals and manage kayak renewal spreadsheet and documentation.

• Help residents with account balance inquiries. Requirements • Minimum of 2 years experience in a similar role as an Administrative Assistant

• Proficient in answering inbound calls and managing inbound/outbound calls

• Exceptional customer service skills

• Strong data entry skills with high level of accuracy

• Experience in email correspondence and managing daily mail

• Proficiency in Microsoft Office suite including Word, Excel, Outlook, and PowerPoint

• Ability to schedule appointments and manage a multi-line phone system

• Experience in handling inbound telephone calls

• Knowledge of direct mail procedures and email newsletter management TalentMatch®
