Job Description
Summary:
Veolia Water Technologies and Solutions has a fantastic opportunity available for a skilled
administrative professional to join our team supporting the senior Finance Leadership team
in Trevose, Pennsylvania. Please note that due to the nature of this job, this will be an onsite
position, Monday - Friday. Leveraging exceptional organizational and communications skills
in a solutions-oriented environment you will support six locally based Finance leaders in day-
to-day operations and projects. We are moving quickly and this role is best suited for
someone who is solutions-oriented and enjoys a dynamic environment where prioritization
strong organizational skills are key to success.
Key Responsibilities:
• Provide administrative support to ensure efficient office operations supporting six
locally based senior Finance leaders
• Manage Finance leaders' calendars for scheduling regular staff meetings
• Manage logistics and scheduling for large and cross-functional meetings, including
room setup and catering
• Assist with travel arrangements and expense reporting for senior Finance leaders
• Draft and edit letters, reports, and other documents
• Assist with vendor Purchase Orders, invoices, goods receipts, and processing
payments, mitigating any invoice issues discrepancies
• Coordinate and manage arrangements for internal and external visitors
• Prepare reports, presentations, and other documents with high accuracy and
attention to detail
• Manage incoming and outgoing mail including scanning and cataloging incoming mail
• Maintain discretion and strict confidentiality when working with sensitive information
ensuring compliance with applicable privacy policies and regulations
• Work closely with other administrative staff
• Provide general administrative support to Finance leaders' staff as required
• Ensures that deadlines are met and adapts to changing priorities
• Presents a positive and professional image for the organization
Qualifications
Qualifications:
• Bachelor's degree from an accredited college or university or a high school
diploma/GED with 5+ years of work experience
• English language fluency. Spanish and French language skills are a plus!
• At least 5 years of office management experience
• Excellent written and verbal communion skills with all levels of the organization
• Exceptional organizational and time management abilities
• Advanced computer skills including Google Workspace and Microsoft Excel, SAP
experience is a bonus
• Knowledge of basic accounting principles and procedures is a bonus
• Adaptability and flexibility to managing changing priorities and the ability to anticipate
issues and resolutions proactively
• Professional demeanor and outstanding customer service orientation
• A healthy sense for humor
