The Operations Manager will provide operational leadership and management at a ProHealth multi-practice facility including a variety of healthcare services such as primary care practices (adult and pediatric), specialty care, acute care, lab, and imaging services. Responsibilities include the oversight and management of daily operations to ensure efficient, accurate administration of all admin support services. The Operations Manager will provide direct supervision of primary care, acute care, specialty and ancillary administrative support staff as well as coordinate a broad range of functions including patient check-in, checkout, phone coverage, registration, scheduling, budget management, etc. Participation in continuous improvement initiatives and lead admin support staff through transformative change will be required. This role will directly report to the Site Practice Administrator.

Primary Responsibilities:

  • Manage day-to-day admin operations by handling issues within the site with Site Administrator and/or appropriate leadership, while fostering an environment of continuous improvement and maintaining high standards for service

  • Plan, implement and evaluate the admin staffing needs on a daily basis to adequately support practice operations in a given area, assigning admin staff based upon practice volume and staff qualifications

  • Work with Site Practice Administrator, Clinical Manager or others to respond to patient concerns as needed; monitor and address patient complaints within position responsibility; ensure the highest level of patient satisfaction; work with providers, admin staff and others to address and prevent problems

  • Direct oversight of routine administrative functions o Direct oversite of the primary care, acute care, specialty and ancillary admin staff o Ensure appropriate admin staffing levels and timely, accurate submission of payroll, management of staff time off requests for all direct reports

  • Direct oversight of site’s check-in, checkout, phone coverage, registration, scheduling, and miscellaneous administrative functions

  • Ensure adequate equipment and supplies for assigned area o Partner with Site Administrator in the hiring of site admin staff

  • Conduct audits of admin staff to ensure staff complete accurate eligibility checks, patient registration, scheduling, etc.

  • Resolve grievances and other personnel issues within position responsibilities; provide input based on observations related to counseling and disciplinary issues; implement corrective actions plans as required

  • Monitor a variety of processes/reports such as patient balance collections, eligibility report, appointment reconciliation report, no show rates, scheduled follow-up visits, admin team task buckets, etc.

  • Collaborate with Site Medical Director to foster, develop and maintain strong positive relationships with providers

  • Partner with Site Administrator and Clinical Manager to lead Active Daily Management activities including conducting daily huddles, updating visual boards, and conducting staff and provider meetings in order to ensure effective communication across all disciplines within the site

  • Provide effective direction, guidance, and leadership over the admin staff for effective teamwork and motivation, and foster the effective integration of efforts with site-wide initiatives

  • Demonstrate a continuous process improvement focus through the ongoing analysis of site admin operations to determine potential areas for improvement

  • Actively manage provider schedules in order to ensure appropriate access for patient demand while enabling providers to meet productivity targets and minimize provider and staff burnout

  • Partner with Clinical Manager to assign admin staff to patient outreach in an effort to improve practice quality metrics and schedule patients with gaps in care

  • Promote collaborative relationships between admin staff and other departments; participate in the development and implementation of admin performance standards including on-going monitoring of admin staff competence

  • Other duties as assigned

Required Qualifications:

  • 5+ years of managerial experience

  • Experience in coordinating and managing staff

  • Proficient in a variety of software products/systems such as Microsoft Office Excel, Word, electronic health record, scheduling

  • Demonstrated leadership and management skills

  • Demonstrated customer service and/or patient relation skills

Preferred Qualifications:

  • Managerial experience in a medical group practice setting

  • Proven ability to find, recognize, motivate, cultivate, and retain employee talent while creating a fair, accountable work environment

  • Proven excellent interpersonal, organizational and communication skills

  • Proven self-motivated with extensive critical thinking skills

  • Proven detail-oriented with demonstrated ability to manage multiple priorities

Connecticut Residents Only: The salary range for this role is $58,300 to $114,300 annually. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
