The Project Specialist is an integral member of the TV & Streaming Post Production department located at the NBCUniversal facility in Englewood Cliffs, NJ, and will report to the Vice President of Post Production and Marketing Supply Chain Operations.
The Project Specialist will be responsible for the analysis, execution, and support of operations and technology solutions and projects for the Post Production and MSC Operations Department. This business-facing individual will meet with the various stakeholders across Post, Product, Engineering, Vendors and clients to project manage and facilitate technology and process based improvement opportunities, resolving gaps and driving productivity using custom and/or vendor technology solutions.
The Project Specialist will partner closely with other members in various projects. This individual will be responsible for leading exploratory conversations, extracting requirements, and developing/executing an actionable plan to meet those requirements. This includes end-to-end workflow analysis of business processes in an effort to drive short-and long-term strategies to improve operational efficiency. The Project Specialist will manage initiative testing, roadmap, training, and support of both custom and vendor products.
Responsibilities
Facilitate conversations in order to extract and document requirements for successful onboarding
Facilitate daily status meetings and review of priority operational issues
Partner with functional and technical SME’s to document business and technical process maps;
Identify strengths, weaknesses, opportunities and threats associated with initiatives and projects
Establish and serve as a subject matter expert in operational training matrix development and standard operating procedures
Collaborate with department managers to continuously improve owned operational processes
Tracking and derive reporting system defects, reliability and availability
Assist with the onboarding of new users via presentation decks
Develop pitches and presentations that capture functional and technical reporting metrics.
Manage internal operational documents and creation/maintenance of wiki site.
Partner with and develop strong stakeholder relationships with business leaders. This includes working closely with O&T business units
Basic Requirements:
4+ years’ experience in a Post Production environment, preferability in a leadership role
2+ years’ experience managing complex projects across multiple stakeholders to successful completion
2+ years’ experience interacting with all levels of management and stakeholders; must be able to articulate technical concepts and solutions to both a technical and non-technical audience
Working knowledge of Jira or similar project and development management tools
Experience successfully communicating with senior management, both verbally and in writing
Excellent interpersonal skills; able to communicate effectively with customers
Proficient with Microsoft Office products: Smartsheet, Airtable, Word, Excel, PowerPoint, Visio, Teams, Outlook
Must be analytical and process-oriented and able to apply structure to complex problems
Ability to manage multiple projects simultaneously and communicate effectively with all stakeholders
Self-starter that demonstrates initiative and ability to work independently with little supervision.
Must have unrestricted work authorization to work in the United States
Desired Characteristics:
2+ years’ experience with business analysis & requirements gathering, writing, and managing use cases and functional requirements creation
Experience with Post Production and Marketing Supply Chain content tools such as Adobe CC, Avid, Frame.io, etc
Experience in US Media & Entertainment environment preferred
Experience in asset management, quality control and post systems and digital workflows for video and/or still assets
Exceptional technical, analytical, organization, research, and presentation skills
Strong team-building, vendor, and customer relations skills
Able to build and present PowerPoint presentations to effectively communicate a message in a short and clear manner
Additional Requirements:
This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
