LILLIAN ESPARZA HINOJOS CPA PC Front Desk Admin in EL PASO, Texas

IMMEDIATE OPENING FOR A FRONT DESK ADMIN! Experience/Education: At least 2 years of experience as an Admin Front Desk, Receptionist, Secretary or a certification in a relevant field, (Post-secondary education or equivalent experience), High School Diploma/GED is required to meet company policy. Language:

  • Must be proficient in English and familiar with speaking in Spanish to be able to communicate with clients and co-workers.
  • Part of the interview will be conducted in Spanish.

Driver's License: Must have a valid driver's license, reliable transportation and current vehicle insurance to be able to drive on company's behalf during business hours. Requirements:

  • Proficient knowledge of MS Word, Outlook,and Exceland previous experience in processing reports and data entry.
  • Excellent grammar skills.
  • Previous collections experience is a plus!

Job Duties:

  • The individual will ensure the smooth operation of the office by promptly greeting clients Primary via phone or in person, accurately recording information and passing it in a friendly, courteous, and professional manner.
  • Document managementvia the company portal. This means accessing, using, and managing thetransfer of documents electronically between clients and the CPA office.
  • Document management is also maintaining records of all incoming and outgoing parcels, mail, invitations, and complete them to be distributed in-house or submitted to the client using established software and procedures.
  • Client management means giving satisfactorily answers to clients, vendors, and professionally screening undesired calls or inquiries.
  • Scheduling office appointments properly defining the objectives of any meeting between parties.
  • Manage the office supplies used by all personnel and ensure that they are properly utilized and replenished.
  • Maintain in proper working order the copier, printers, postage meter, etc., by interfacing with the corresponding vendor ensuring proper business use.
  • Ensure paper is properly loaded in all office equipment.
  • Sanitizing highly traffic and common office areas with gloves and sanitizing cleaners.
  • Picking up and deposing office trash on days the cleaning service is unavailable.
  • Special tasks, duties, as assigned.
  • Compensation will be based on experience and discussed during interview.

All viable candidates will be required to complete the following evaluations: Microsoft Outlook, Word, Excel and a Typing Test.
