Administrative Assistant

Position Purpose:

The Administrative Assistant provides administrative support to the Eastover Mill’s Maintenance and Engineering Team. The successful candidate will be forward thinking and a creative problem solver with the ability to anticipate needs of the department’s employees and the mill’s operating areas. They must be able to function effectively in a fast-paced, high-energy environment and have the willingness to learn and understand the business operations. Highly functioning scheduling skills are important to manage dynamic/evolving calendars fully, acting as a gatekeeper to ensure efficiencies in the flow of the day. You may also assist with other mill-specific projects as needed. In this role, you’ll be a resource to many. Excellent interpersonal skills to effectively interact with team members at all levels of the organization and provide exceptional customer service are essential.

This position must be flexible, with the ability to adapt to change and priorities, based on mill needs. Roles and responsibilities include the following, but not limited to:

  • Provide administrative support to the Maintenance/Engineering department which consist of 165 employees in day to day Operations.

  • Schedule and coordinate appointments and make arrangements for meetings and conferences

  • Prepares routine letters, memorandums, agendas, presentations, forms etc.

  • Prepare and distribute communications for M&E managers, engineers, and technicians as directed.

  • Operate standard office equipment including being the owner of printers and copiers in the department’s office buildings

  • Responsible for establishing and maintaining official documents and records in appropriate files to ensure organization of materials.

  • Create, distribute and file weekly performance reports (spread sheets, graphs, etc.) Training reports/tracking

  • Support Maintenance & Engineering to include assisting with Microsoft applications

  • Fiscal responsibilities to document, prepare and reconcile expense reports.

  • Assist in arranging travel for the department’s employees

  • Liaison to other departments as directed

  • Work with team to maintain mill-wide weekend duty schedule

  • Mill Outage preparation and support

  • Manage contracts for uniforms

  • Make all arrangements for department’s celebrations.

  • Directly interface with Maintenance and Engineering teams to track achievement and compliance by all employees in the department

  • Interface with HR when needed for employees

Minimum Qualifications:

  • High School Diploma or GED

  • 3-5 years of administrative assistant experience, customer service orientation preferred

  • Ability to handle multiple tasks, projects, competing priorities and tight deadlines simultaneously, while maintaining quality and exhibiting excellent follow through.

  • Ability to successfully perform the role with minimal direct supervision. Strong adaptability, flexibility and resourcefulness.

  • Ability to maintain a high level of professionalism and confidentiality.

  • Expert user of Microsoft Office including Word, Excel and PowerPoint

  • Skilled oral and written communications

  • Analytical/problem solving skills

  • Ability to interface with others on multiple levels

  • Self-directed with good time and project management skills

  • Takes initiative to find creative solutions

Preferred Qualifications:

  • Relevant Associates Degree or higher

  • Demonstrated ability to manage and coordinate multiple projects and deadlines

  • Ability to analyze budgets

  • Familiarity with LEAN Manufacturing Tools

  • Balance directive communications while being tactful

  • Strong organizational skills

  • Strong interpersonal skills

  • Strong written and communication skills

  • Proficient training skills

  • Familiarity with SharePoint and use of tools for document revision and management control
