In this support role, you will oversee the administrative operations of the agency and manage the schedule of the Chief Executive Officer, which are part of your key duties. As the Executive Assistant and IT Specialist, you will also oversee the agencys technology and equipment, ensuring that devices are up-to-date and our security measures are effective. This role will manage multiple employee information databases, including the directory, extension list, office assignments, and Credible profiles. You will also help make key decisions and challenge, negotiate, and influence the team. Duties/Responsibilities:
- Manage and coordinate the CEOs daily schedule and provide administrative support to the CEO.
- Document and submit the mileage and expenses of the CEO.
- Complete purchase orders and coordinate the ordering of all office supplies, furniture, and equipment for staff through appropriate vendors. Assist in the spending of grant budgets as they relate to such items.
- Manage employee information including the employee directory and extension lists.
- Assist with the administrative updates to CARF accreditation related items, company policies and procedures, and workflows.
- Provide administrative support to the Grants Management process.
- Open the mail daily, process a cash sheet encompassing all agency location monies collected, and complete banking deposits.
- Assist with the onboarding of new hires.
- Troubleshoot technology issues and triage IT and in-house phone issues alongside the Tezla Group and Country Telephone and Communications, under the supervision of the Director of Administration and Grants Management.
- Oversee equipment inventory and technology upgrades.
- Oversee submitted Critical Incident Reports and sending weekly reports to the CCO.
- Attendance and minute taking at internal meetings.
- Assist Executive Administrative Teams as needed including Development, Marketing, HR, and Finance.
- Carry out other duties as assigned.

- Ability to have a global perspective while maintaining day-to-day processes.
Education and Experience:
- Minimum of a high school degree or GED;
- Minimum of 7 years of office-related managerial or executive assistant experience
