As an Administrative Specialist you will work as part of our Admin and Accounting team to provide accounting and administrative support to our growing team and customer base. You will have both a day-to-day and ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our valued partners.

Responsibilities include, but not limited to:

  • Send and receive emails and phone calls in reference but not limited to billing, customer requests, and internal requests
  • Receive and apply check and ACH deposits
  • Invoicing and sending invoice copies to customers
  • Invoice uploads for customers with specialized billing instructions
  • Invoice and carrier pay corrections
  • Perform background checks and add new customers; provide a credit recommendation to Office Manager and Director of Sales and Operations
  • Adjust customer credit lines according to credit scores, payment history and volume of business with assistance from Office Manager
  • Adding notes in customer account profiles for all communication
  • Assist with accountant information requests
  • Serve as backup for Carrier Compliance
  • Assist with collection of carrier backup paperwork for billing
  • Other duties as assigned

Requirements:

  • Previous experience in Accounting, Customer Service, or related fields is preferred.
  • Experience with Microsoft Office Suite, including Microsoft Excel
  • Experience with QuickBooks software is preferred
  • Detail-oriented with strong organizational skills
  • High attention to detail
  • Positive attitude and ability to work in a fast-paced, team environment
  • High School Diploma or GED required
