AOA Xinetics (AOX), a wholly owned Northrop Grumman Space Systems, Payload and Ground Systems Division Business Unit, is a leading supplier of complex electro-optic and photonic systems and subsystems that control and manipulate light waves for a variety of applications. We are seeking a Functional Support Administrative Assistant 2 to support our Special Programs Business Area located in East Hartford, CT. This position is 100% on-site.

Overview

Reporting to the East Hartford Director of Programs, the Functional Support Admin will support our Program Managers and be responsible for a variety of administrative tasks and activities within a dynamic, fast-paced, and highly technical work environment. The ideal candidate will be organized, proactive, and adept at handling multiple tasks simultaneously.

Role and Responsibilities:

  • Provide general administrative support including prioritizing, deconflicting, and scheduling meetings, managing calendars, handling quick turn requests, monitoring upcoming needs and proactively preparing for future requirements

  • Attend staff meetings, publish agendas, track action items and ensure deadlines are met

  • Arrange and execute support for a variety of internal and external on-site meetings, including conference room reservations

  • Make travel arrangements and process expense reports in a timely manner

  • Assist in collecting, summarizing, and organizing data for reports and presentations

  • Prepare drafts documents, coordinate reviews, and ensure timely submission of deliverables

  • Compile and analyze data to generate reports, statistics, and presentations as needed

  • Serve as a point of contact for internal and external stakeholders, answering queries and redirecting queries as necessary

  • Provides data and information to others for Special Programs processes and procedures

  • Manage and/or support special projects as assigned

  • Identify opportunities for process improvement within administrative functions and assist in implementing solutions

  • Collaborate with other administrative assistants and team members to provide seamless support across functions as needed

Basic Qualifications:

  • High School diploma or equivalent and a minimum of 5+ years’ professional experience as an Administrative Assistant or Project Assistant or similar experience

  • Strong interpersonal, verbal, and written communication skills

  • Ability to handle confidential information with discretion

  • Attention to detail and problem-solving skills

  • Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities with ability to prioritize tasks and manage time effectively

  • Intermediate to high level expertise with MS Office Suite (Word, Excel, Outlook, PowerPoint, and MS Project)

  • Ability to obtain and maintain a Top Secret security clearance

  • US Citizenship is required

Preferred Qualifications:

  • Strong proofreading and document preparation skills

  • Active Top Secret clearance

Salary Range: $44,600 - $74,400

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
