Position Overview

Primary Function of Organizational Unit

In support of the mission of the law school the Office of Career and Professional Development is responsible for all aspects of career development, professional development, and recruitment programming for nearly 400 law students and a substantial number of alumni/alumnae. We accomplish this by (1) providing career education and professional development programming to our students and the law school; (2) coordinating programs an opportunities with faculty and staff within the law school; and (3) working with employers and organizations, including private firms (large, medium, and small), court systems and judges’ chambers, legal services organizations, public interest organizations, state and federal government agencies, and corporation to develop and facilitate internship and permanent positions for out students and alumni.

The Office of Career and Professional Development is the clearinghouse for job information, career education, and professional development workshops, employment skills development, and career exploration for students across all class levels, including dual degree programs participants in the JD/MLS program with the School of Information and Library Science and the JD/MBA program with the School of Business.

Primary Purpose of Position

The primary purpose of this position is to provide managerial and student services functions that support the career development of students and career services-related external relations with alumni, current and prospective employers. The employee in the position exercise considerable independent judgment, facilitates the flow of information about job opportunities between employers and students and (alumni/alumnae), and oversees the scheduling of both on and off campus interview.

Required Knowledge, Skills, and Abilities

This employee should have considerable knowledge of university academic structures and programs as well as administrative principles and practices or knowledge from similar experiences. The employee must have the ability to work independently with minimal supervision, but must be able to work in a team environment also. The employee must be confident and have a level of maturity that fosters effective interaction with students, alumni, faculty, staff, and employers; must have some knowledge of FERPA and its application to working in the student environment; must be flexible and able to shift priorities as demands in the office change throughout the day; must be able to communicate well orally and in writing; must be ale to solve problems, use good judgment, and apply policy and procedural guidelines in a consistent manner; must be able to use common software packages such as Microsoft Office and other office equipment; must be familiar with Simplicity or be willing to learn how to use it and other career services related software, applications, and cloud-based portals must learn and understand best practices related to working with students and instructing them through career services matter. The employee must be able to organize workflow and coordinate activities.

Minimum Education/Experience

Bachelor’s degree; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Managing Work Process:

The employee handles all payment request, invoices and travel requests and reimbursements for the office. This employee also prepares draft budgets for review and approval by the Assistant Dean for Career and Professional Development as related to office programming needs, the Title III grant, etc. The employee actively seeks input to help identity best practices and is constantly in search of ways to improve office processes and efficacy. He/She not only identifies best practices, but also creates, finalizes and implements changes that affect a broad range of constituents including students, alumni, employers, and office staff.

Function Administrative

Decision Making:

The employee is expected to make independent administrative decisions regarding the oversight of office student work aids, evaluation of student and graduate reciprocity requests for access to Simplicity (our online internship and job database) and management of office space (interview rooms) and inventory, and administration of the on campus interview program (setting the program timeline, scheduling interview, registering employers, sending notifications to employers and students, etc.)

Coordination – Operations

The employee maintains good decorum and office management. Responsibilities also include the development, revision and oversight of policies, processes, and procedures related to areas of responsibility, as well as each student work aid’s area of responsibility, enhances the office’s ability to create and achieve departmental goals. This employee implements and regulates the policies and procedures related to the use of the office materials and student-related access to the office. The employee’s ability to direct, evaluate and implement improvements to maximize our ability to achieve departmental goals is an asset to our department.

Program Management:

On-Campus Interview Program Management:

This employee independently plans, manages and executes all aspects of the fall and spring on-campus interview schedule which is multi-level schedule for employers and students in terms of position postings and application openings and deadlines, student applications for positions, employer review and selection of applicants and scheduling applicant interviews with employers. The interview date is the date that sets the pace for the other deadlines. These schedules are set up as sessions and each week’s session has different dates for each step of the process. Additional responsibilities, include; collecting and confirming employer hiring needs, posting materials and candidate selection, management of interview schedules, reserving and assigning interview space, greeting employers, preparing employer materials for the day of interviews, securing parking and lunch for employers, as needed, and collecting employer feedback to distribute to students. This employee initiates the annual employer recruitment process. Must be able to provide an incredible amount of expertise in this area. particularly with regard to how to use Simplicity, the job database platform, to meet the needs of students, employers, and our office throughout the on-campus interviewing program which runs from July to October, with planning beginning in May.

Off-Campus Interview Program Management:

This employee manages major off campus interview programs including, but not limited to, NC Legal Interview Programs (east and west), Equal Justice Works, Southeastern Minority Job Fair, and Southeaster Intellectual Property Job Fair. The needs for these programs vary, but they primarily center around making students aware of the programs and opportunities, preparing our student records for student participation and registration , and arranging for the Law School’s payment of registration and participation fees for these programs. The NC Legal Interview Programs require that each NC law school identify at least one staff member responsible for a share of the work load (as divided among the law schools in NC) for this interview program. The task are self -directed and may vary from year to year, but require troubleshooting and resolving issues which are often times unprecedented and impact all state law schools as well as the participating employers and students. The employee also participates in conference calls multiple times per year for this program to shares ideas for developing innovative approaches to improve the program’s processes and procedures based on the new issues faced in each given year.

All Interview Programs:

Additionally, this employee is responsible for ensuring that students comply with office policies related to these interview programs.

Management of the above programs also included running various reports evaluating student and employer participation in these programs in addition to other indicators of success

Student Relations:

This employee is primarily responsible for creating and conducting a number of training programs for students including, but not limited to accessing Simplicity (our online internship and job database), bidding for on-camps and off-campus interview programs, and applying for Public Interest and Judicial Clerkship Stipends. In addition to these training programs, this employee is responsible for creating, revising and/or updating related training materials. The employee posts these materials on Simplicity, made accessible on the Office for Career and Professional Development resource table and via other methods. Additionally, this employee independently advises students on the on-campus and off-campus interview programs and other aspects of the job search and application process. This employee also assists with student resume reviews. As the initial point of contact when students enter the Career Services suite, this employee directs students to available office resources. Also provides similar assistance to alumni seeking assistance from this office and is the first point of contact for employers who wish to post internship and job postings on Simplicity. Whenever employers have issues with signing up for on campus interviews, selecting candidates, posting jobs, etc. the employee will be responsible for troubleshooting their issues.

Information Management:

This employee oversees the management of data and information that is collected in Simplicity, our primary portal and database for student, alumni, and employer records, job posting, and survey management. Additionally, the employee works closely with the Law School’s registrar to ensure our records reflect students who have withdrawn or who have been academically dismissed. This employee is responsible for approving registrations for students, alumni, employers, and those seeking reciprocity with our law school. This employee is responsible for establishing the data collection protocol for Simplicity to include the roll-over of current students and the addition of new students, new employers and alumni.

Reporting and Statistical Data:

This employee independently prepares monthly comprehensive reports for the office. Additionally, this employee is responsible for creating and following a data protocol based upon data that needs to be collected and reported for the office. These comprehensive reports include data to reflect the activities of the office and are used in a variety of areas and ways and as the basis of constituent reports. This employee is tasked with independently troubleshooting data collection matters. Additionally, this employee handles the employment data collection for the annual American Bar Association, The National Association or Law Placement, US News and World Reports, etc., under the supervision of the Assistant Dean for Career and Professional Development.

This employee is self-motivated and shares conclusions and concerns regarding the reports, unprompted with the Assistant Dean for Career and Professional Development demonstrating tan ability to evaluate, update and apply learning to improve overall program(s) of student centered program services.

Communication Management:

This employee assists the Assistant Dean with marketing communications with employers and prospective employers, students and prospective students and alumni. This employee manages and spearheads social media, email and other messaging campaigns.

This employee supervises a work-aid student who assists with tasks related to this position. This employee assess the performance of our student work aids that report to her and report on areas of concerns and/or performance issues, but they will also constantly provide valuable input on the functioning of our office during our staff meetings an staff retreats. For example, one of the goals of our office to expand our reach by increasing our number of student interactions, To help quantify our office’s reach, each advisor is required to record all student encounters.
