The Freight Forwarding Operations Manager will be pivotal in managing and supervising comprehensive shipment operations globally. This role demands an astute ability to coordinate with a range of vendors to ensure seamless execution of logistics processes, aiming for unparalleled customer service. The candidate will be responsible for meticulously planning, scheduling, and overseeing daily operations related to freight forwarding.

Responsibilities:
- Operational Oversight and Execution:
Manage and oversee day-to-day import operations of air and ocean freight forwarding as well as inland transportation.
Source and negotiate with carriers for the movement of irregular or urgent freight.
Manage the schedule of shipments and ensure effective communication with carriers and optimal utilization of systems.
- Client Relationship Management and Service Delivery:
Build and maintain strong relationships with clients, proactively addressing their logistical needs to achieve high levels of satisfaction.
Respond promptly to customer requirements, concerns, and issues, resolving any operational irregularities that interfere with timely delivery.
Oversee communication with assigned customers, ensuring customer requirements are met efficiently.
- Compliance and Documentation Management:
Prepare and manage essential documentation, including Master Bill of Lading instructions, Master and House Air Waybills, manifests, invoices, and delivery orders.
Ensure all shipping and forwarding activities comply with local and international regulations.
Stay up-to-date with international trade regulations, customs requirements, and trade agreements.
Monitor audits to ensure all required inspections and documentation, including safety and DOT records, are completed and retained.
- Financial and Performance Management:
Handle Accounts Receivable (A/R) and Accounts Payable (A/P) billing processes efficiently.
Monitor Key Performance Indicators (KPIs) and implement corrective actions to drive business success.
Perform collection activities for A/R payments and manage overdue invoices within agreed terms.
- Operational Efficiency and Innovation:
Innovate operational processes to enhance work efficiency and improve sales/profit margins.
Ensure AR/AP entries are completed accurately within the given timeframe.
Optimize shipping costs through effective contract negotiations and budget management.
- Team Leadership and Development:
Support, motivate, and encourage teamwork within the workforce to meet productivity targets.
Oversee agents and manage processes that support the customer's import and export needs.
Prepare and share weekly, monthly, and quarterly reports with customers and headquarters.
- Record Keeping and Reporting:
Maintain accurate and comprehensive records and prepare reports related to all forwarding activities.
Compile and present reports, synthesizing necessary data.
Requirements
Bachelor’s Degree or higher required.
5+ years of experience in Domestic Freight Forwarding Operations, Ocean Freight, Drayage, or multi-modal freight, including at least 2 years in a managerial or supervisory role.
Relevant industry knowledge.
Ability to build trustworthy relationships with customers at all levels (C-level, Managers, Staff).
Excellent presentation, communication, and organizational skills.
Excellent problem-solving skills.
Team player.
Proficiency in Microsoft Office applications (Excel, PowerPoint, Word, Outlook), with strong expertise in Excel (VLOOKUPs, pivot tables).
Highly organized and detail-oriented, with a strong ability to prioritize tasks and work efficiently in high-pressure environments.
