Job Summary

History Colorado has been building and refining The Collection since 1879. The Collection is a tangible point of connection between the present and the past. It reflects who we are and what we value today, and records what will be of interest to Coloradans in the future. The value of The Collection lies in the powerful stories it holds, and in its potential for aiding public awareness and understanding of the state’s history through uses including: research, educational programming,exhibitions, loans, design inspiration and community building. The Collection currently comprises approximately 225,000 artifacts, 1,000,000+ photographs, and 9,000+ linear feet of textual and archival materials. This position is being offered at either the Associate level or full Exhibits and Loan Registrar. As an important part of the Collections Access team, the Exhibits and Loan Registrar is responsible for the physical control and legal documentation of all loans to/from History Colorado. Primary responsibilities include managing both incoming and outgoing loans, working with lenders and borrowers, and playing a key role in facilitating exhibits at the History Colorado Center.

The Exhibits and Loan Registrar provides a high level of project management and works closely with curatorial and collections management staff, as well as other departments, including Design and Production. The position applies concepts, principles, and techniques of professional museum registration methods and museum collections management. The Exhibits and Loan Registrar is responsible for maintaining and enforcing legal and ethical standards for History Colorado’s loan program.

This position requires a great deal of flexibility and adaptiveness, as well as a high degree of teamwork. The ideal candidate will be solution-oriented and can realistically balance industry standards while also facilitating non-traditional loan scenarios, when necessary. The Exhibits and Loan Registrar, while based at the History Colorado Center in Denver, is also expected to work with History Colorado’s Community Museums to provide support for exhibits, such as periodically traveling to assist with installations.

Major Responsibilities and Duties:

  • Serve as primary collections management and registration contact for all exhibits and installations.

  • Participate in exhibit meetings to promote and ensure best practices and standards for collections.

  • Lead efforts to develop and implement exhibit procedures, documentation, and tracking methods for case layouts, mount creation, install, graphics, and other collections-related exhibit tasks in consultation with the Design and Production department.

  • Ensure efficient and safe processing and preparation of collection items for exhibits, including: cataloging, condition reporting, photography, conservation, mounts, rotations, casework, installation, data entry, etc.

  • Manage all aspects of incoming and outgoing loans of collections including transport logistics, legal contracts, facility reports, insurance, processing, exhibit, etc.

  • Manage environmental conditions for exhibit spaces.

  • Assist collections and curatorial staff with permanent collection projects such as storage and retrieval, outreach, problem-solving, backlog, inventories, conservation, and other registration projects as needed.

  • Assist with exhibit projects at Community Museums throughout the state.

  • Provide support for traveling exhibits such as helping to manage logistics like shipping, insurance, and installation.

  • Provide a high level of collections outreach and programming.

  • Direct and supervise the work of volunteers and interns.

  • Preferred Candidate Can Successfully Demonstrate:

  • Proven application of tracking processes for managing exhibits and loans.

  • Strong ability to make decisions, be self-directing and work independently, and show motivation.

  • High level of proficiency with collections management databases.

  • Experience managing a large number of incoming and outgoing loans.

  • Experience with large collections or high volumes of activity at a medium to large institution (or experience that is comparable).

  • Experience in project management, meeting deadlines, and flexible multi-tasking in a fast-paced and sometimes ever-changing environment.

  • Oversight and successful completion of all collections work on exhibit teams including specific tasks such as case and mount assessments, security decisions, lighting, etc.

  • Effective communication and cooperation with other museum staff, especially curatorial and exhibit and design staff.

  • Ability to work independently and direct registration tasks or make comparable decisions with or in absence of a supervisor.

  • Familiarity and experience with rights and reproductions and digitization.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

REQUIREMENTS

  • Master’s degree strongly preferred in Museum Studies, History, Art History, Library Science (or related degree) with a minimum of 2 years of practical museum experience OR Bachelor’s degree with 3+ years of relevant practical experience

  • Strong knowledge of museum registration processes and standards including applicable laws and ethical codes as set forth by AAM, specifically those relevant to exhibits and loans.

  • Handling, storage, and conservation experience with large collections or high volumes of activity at a medium to large institution (or experience that is comparable) with a large collection and/or multiple sites.

  • Experience working with a range of collection types including artifacts, photographs, and archival materials.

  • Strong computer skills and proficiency with collections management databases, metadata standards, and cataloging standards common to museums and archives, strong experience with Argus preferred.

  • 1 year of experience handling, packing and shipping of museum objects of a widely varying nature.

  • Knowledge of museum collection standards and conservation practices including the standard agents of deterioration, their effects on different types of artifacts, and how to best mitigate their effects.

  • Driver’s license.

SPECIAL REQUIREMENTS

  • Sometimes requires lifting heavy objects and working on ladders.

  • May require periodic travel by car, van, and truck to storage facilities and museums throughout the state, typically for periods of less than one week in duration.

  • May require working weekends or evenings for special projects.
