Project Specialist - ID/AIDS SERVICES (Job ID: 10842)Job SummaryUnder minimal supervision of the Administrative Director of PharmacyServices, the Project Specialist provides administrative support to thePharmacy and serves as a resource to Pharmacy Leadership, Staff and theAssociate COO to which Pharmacy reports. Assists in the completion of projectsin support of Denver Health's strategic initiative. Effectively manages thecoordination of meetings, prepares proper documentation and presentations,compiles data, and updates key stakeholders as needed. Analyzes and tracksproject deliverables and schedules.Responsibilities1.Establishes a systematic approach to promoting efficiency and effectiveness.Organizes work day in order to manage multiple, simultaneous projects.2.Assists in the preparation, analysis, creation, and management ofprojects for the Administrative Director of Pharmacy Services, PharmacyLeadership, and the Associate COO.3.Establishes objectives, appropriate course of action, and timelines.4.Collects organizational and procedural information by observation of thedepartment performance and measurements to evaluate projects.5.Performs and oversees special projects, including both inter- andintradepartmental projects.6.Organize and submit department invoices to Accounts Payable for timely andaccurate payment.7.Manage employee personnel files confirming that all documentation requiredby Joint Commission and the Colorado Board of Pharmacy is up to date andorganized based on DH/TJC/BOP Standards.8.Responsible for coordination of candidate interviews and travel ifnecessary.9.Coordinate and track department travel orders and approval workflow.10.Recognizes, initiates, and leads improvement efforts throughinitiative, judgment, tact, and discretion.11.Participates in department meetings to assist in evaluation ofoperations, new programs, and operational changes that would affectperformance, and makes recommendations.12.Prepares and automates special department reports for management to reflectperformance.13.Promptly responds to all forms of communication.14.Maintains and continually develops competence with office technology.Designs, executes, and maintains SharePoint sites with updatedinformation, graphs, and visuals.15.Manages paper and electronic records, creation and maintenance ofspreadsheets and databases, and effective processing and tracking ofPersonnel Action Requests.16.Produces reports, compiles information, and analyzes and communicatesresults as needed.17.Attends training courses provided by the organization as necessary.18.Composes correspondence, reports, minutes, memoranda,policies/procedures/guidelines, and other material.19.Ensures produced materials are neat, clear, attractive, and properlyformatted.20.Completes purchase requests promptly.21.Follows-up and problem solve any delays or issues pertaining to submittedrequests made personally or by leadership.22.Assists in budget management and expenditure control.23.Identifies and utilizes the most cost effective services and vendors.24.Uses good judgement and discretion relative to purchases made.25.Places and manages engineering work orders and Help Desk tickets asrequested by leadership.26.Assists in the training of clerical support as needed.27.Other duties as assigned.Knowledge, Skills & AbilitiesKnowledge, Skills and Abilities1.Ability to work independently and be self-directed.2.Ability to manage high volume workload from multiple leaders and staffmembers.3.Ability to demonstrate professional work behavior by following guidelines asestablished by policies and procedures.4.Ability to communicate information appropriately, express verbal andwritten thoughts in a clear and concise manner.5.Knowledge and application of project planning, development andimplementation.6.Ability to provide input on projects/programs, assist with associatedwork plans and able to manage the day to day execution of assigned projects.Computers and Technology1.Proficient in Microso
