POSITION SUMMARY:
This position reports to the Manager of Contracts & Compliance and supports the Contracts & Compliance team within our company’s gathering & processing arm. The candidate must be able to handle multiple responsibilities, including insurance monitoring and management, systems, data, and records management, and document analysis, within the team in a professional, accurate, and expeditious manner. The successful candidate will be a proactive, quick learner, adept with various systems related to contract and records management, be organized, work under tight time constraints, able to prioritize assignments, and be a confident and skilled communicator as a representative of our team and the company.
KEY RESPONSIBILITIES:
Monitor and manage Contracts & Compliance shared inboxes (Outlook) and mail and direct questions/issues to the appropriate personnel for assistance
Coordinate with internal stakeholders, finalize, and email/mail (via UPS, USPS) letters and notices to customers
Assist with insurance monitoring and management through obtaining and reviewing updated certificates of insurance (COIs) from contractors working for the business, tracking spend with vendors, monitoring expirations and renewals, and uploading files and entering metadata in various systems.
Assist with weekly and monthly reporting out of contract management systems for key stakeholders with developed ability to create unique reports based on stakeholder need.
Review and assist with requests related to Contract and Records administration coordinating closely with team members and other groups (primarily in SAP)
Troubleshoot system and procedural issues, as necessary
Maintain various tracking spreadsheets for data gathering and analysis
Pull data and records, upload and organize documents regarding: (a) the sale of Company assets and the transfer of records to the purchaser, (b) the purchase of assets by the Company and the transfer of records from the seller, and (c) miscellaneous requests from internal stakeholders to review large quantities of documents.
Assist with the analysis of documents, hard copy and electronic, for completeness and enters required information into contract or operational record system.
Assist with records management activities regarding the lifecycle of documents managed by Records including responding to and investigating stakeholder requests.
Make suggestions with regards to changes in system functionality and processes for improvements in efficiency and adherence to procedures.
Partner with other organizations to ensure the information flow is efficient between Contract Admin and Records and the client organization.
EDUCATION & EXPERIENCE:
High School Diploma or GED required; Advanced degree preferred
Experience: 0-3 years working in similar field
Previous oil & gas industry experience desirable.
Skills:
Work expeditiously and under time constraints.
Ability to take in numerous systems, procedural, and policy knowledge to better problem solve for stakeholders.
Very organized and detail oriented.
Team player that demonstrates strong leadership skills.
Strong IT skills and Microsoft O365 and PDF software experience a must (e.g., Excel, Outlook, Word, PDF-Xchange)
Contract and Records Management systems experience highly preferred (e.g., Quorum, SAP, SharePoint Online)
Basic to intermediate level knowledge of insurance types, what they cover, and how to review a certificate of insurance for coverage amounts and endorsements.
Communicates clearly and concisely both orally and in writing (including grammar and spelling).
Data entry skills with high-level accuracy.
Strong work ethics in areas of honesty, integrity, ownership, and knowledge.
Ability to prioritize work and effectively management time including assisting other team members to prioritize and work effectively.
WORKING CONDITIONS:
Physical Demands: requires sitting throughout most of the day, interspersed with short trips throughout the office as needed to file, print, scan, etc. Some lifting of boxes containing physical files and records may be needed.
Work Environment: primarily in an office environment with work from home hybrid schedule.
