Business Operations Support

  • Manage in-office, ES department business needs which include:

  • Processing of USPS mail and incoming packages.

  • Act as Fire Marshall.

  • Assist with onboarding and off boarding employees, which includes following department processes to support tasks such as I-9 processing.

  • Maintain ES conference rooms and assists onsite staff with supplies and maintenance requests as needed.

  • Assist with additional office management and administrative tasks, as needed

  • Maintain documentation in Records Room; scanning and purging documents

  • Provide communications to department staff as needed.

  • Process Public Service Loan Forgiveness forms.

  • Review and assign Benefits and Leave customer support tickets through Cherwell, as needed.

  • Process FAMLI administrative tasks to support Leave team.

  • Distribute voice messages, faxes, e-mails, and mail sent to Employee Services.

  • Respond to external customers' basic questions such as due dates for payroll processing or submission of forms, and navigation of the department website.

  • Support data cleanup efforts by running reports and through HCM data entry.

  • Update employee addresses in HCM.

  • Assist with the university's FAMLI notification process.

  • Work closely with other Business Operations Team members to support ES department projects and initiatives

  • Collaborate with appropriate employees to create meeting agendas, attend meetings, and take meeting notes when needed.

  • Coordinate specific meeting and event arrangements and logistics for the department. Meetings could include, but are not limited to:

  • HCM Community meetings.

  • Professional Development/Employee Recognition Events.

  • Employee Services All-Staff Meetings.

  • Assist with the university's retiree and arrears billing processes.

  • Coordinate and update the ES SharePoint page, as needed.

  • Coordinate and participate in department employee engagement efforts, planning large-scale events, managing recurring email correspondences, and communicating through the Microsoft Teams channel.

Content Management System (OnBase) Support

  • Act as the liaison between the Business Operations team and the Business Systems team.

  • Upload, review, and index documents.

  • Perform daily, weekly, and monthly tasks monitoring several ES OnBase processes.

  • Research microfiche requests.

  • Support ES projects in testing processes, scanning documents, indexing, exporting, etc.

Qualifications:

Minimum Qualifications:

  • Bachelor's degree from an accredited institution of higher education or equivalent professional experience. (The educational requirement may be substituted by professional experience on a year-for-year basis).

  • One (1) year of experience in general office responsibilities and procedures, which may include the use of software systems.

Preferred Qualifications:

  • Two (2) years of equivalent experience as stated above.

  • Experience with customer service ticketing software and records management software.

The Business Operations Professional is a member of the Employee Services (ES) Department within the System Administration Office at 1800 Grant Street in Denver. This customer-facing position is responsible for a broad range of professional-level tasks and administrative duties in support of ES projects, initiatives, events, and to the centralized functions in support of the payroll, benefits, operations, leave (FAMLI), communications, and human resources teams. This multi-faceted position works closely with numerous internal and external constituents and is required to demonstrate professional customer service while assisting, informing, and directing customers to appropriate resources. The Business Operations Professional acts independently and exercises initiative to achieve goals and objectives. This role must possess a strong ability to learn components of PeopleSoft HCM (human capital management) system, the department ticketing system, and the functionality of OnBase, our content management system. This position reports to the Business Operations Manager and is exempt from the State of Colorado Classified Staff system.

This hybrid position will be required to be onsite three days per week at our 1800 Grant Street Office in Denver.
