Job Title: Accounts Payable Specialist

Reports To: Accounting Manager

FLSA Status: Hourly, Non-Exempt

Compensation: Compensation is dependent on experience and ranges from $26.50/hourly to $29.50/hourly.

General Summary:

Process daily accounts payable transactions, files and records.

Primary Duties and Responsibilities:

  • Process, verify, and reconcile vendor invoices using D365, ensuring accuracy and compliance with company policies.

  • Perform a three-way match to verify that purchase orders, receipts, and invoices are consistent before processing payments.

  • Manage weekly and monthly payment cycles, including ACH and check payments.

  • Review and validate invoices, purchase orders, and expense reports to ensure accuracy and identify and resolve discrepancies efficiently.

  • Maintain vendor accounts, ensuring that documentation is organized, up-to-date, and compliant with internal controls.

  • Collaborate with internal departments to resolve payment issues and ensure smooth invoice approval workflows.

  • Support audit requirements by maintaining accurate records and assisting in providing documentation for external and internal audits.

  • Prevailing Wage Vendor Approvals.

  • Maintain vendor W-9 and COI’s.

  • Other duties as assigned.

Education and Experience:

  • Accounts Payable experience preferred.

Skills and Abilities:

  • Work effectively as part of a team and independently with limited supervision required.

Computer Skills:

  • Basic computer skills including Microsoft Excel and Outlook required.

  • Proficiency in Microsoft Dynamics 365 (D365) or relevant Accounting Software with hands-on experience managing accounts payable processes is a plus.
