We are seeking a highly organized and detail-oriented Medical Staff Leadership Executive Assistant to support our medical staff credentialing and administrative operations.

As the Medical Staff Leadership Executive Assistant, you will play a key role in the support of both the credentialing process and administrative functions for the medical staff at Monte Nido. This hybrid role is based at Walden Behavioral Care in Dedham, MA, with three days on-site and two days remote. The ideal candidate will have experience in healthcare administration, specifically in medical staff services, and will possess excellent organizational and communication skills.

Responsibilities Include:

  • Manage calendars, schedule appointments, and coordinate meetings for Medical Executive Leadership and Walden Dedham Medical Leadership. Ensure all necessary materials and agendas are prepared in advance. Coordinate the preparation and distribution of materials for medical staff meetings and committees.

  • Prepare reports, presentations, and other documentation as required by medical staff committees and leadership including Ethics Committee and support setup for the meetings.

  • Organize and coordinate travel arrangements for medical staff leadership, including booking flights, accommodations, transportation, and reimbursement. Ensure all travel itineraries are accurate and communicated in a timely manner.

  • Support with Medical Staff interview coordination, credentialing, and new hire onboarding including filing documentation in the appropriate provider personnel files.

  • Coordinate with company broker to initiate new enrollments of physicians into our medical malpractice plans and removal of departing physicians from the plan.

  • Maintain list of all Monte Nido providers and malpractice insurance including limits and expirations, collect COIs as needed.

  • Maintain the enrollment process of the company’s UpToDate account and terminate accounts as needed.

  • Maintainthe roster of all Walden active medical staff providers by location and level of care.

  • Maintain and audit, on a regular and recurring basis, the roster of current physicians enrolled, point of contact for verification of coverage requests, and any malpractice questions (liaise with the legal team as needed).

  • Support Medical Leadership in preparing materials for conferences and speaking engagements as necessary.

  • Collect, verify, and submit for approval all timecards, invoices, and expense reports.

  • Draft and maintain the provider on-call schedule, ensuring adequate coverage and clear communication among staff.

  • Coordinate and maintain the provider didactic schedule, scheduling, coordinating and attending training sessions and educational meetings as needed.

  • Support VP of Psychiatry in management of resident and fellow rotations, ensuring compliance with institutional agreements and program and company requirements.

  • Function as primary contact for company finance team, specifically Manager of Managed Care Contracts and Director of Finance Systems. Provide updated provider rosters, including licensing information, etc., by site as needed. Confirm site assignments to clarify payroll coding questions as needed.

  • Assist CMO with budget tracking, expense reporting, and invoicing as needed. Collaborate with finance teams to ensure accurate financial records.

  • Notify Directors of Admissions, Director of Utilization Management, and Manager of Managed Care Contracts when a new facility psychiatrist is hired, so that the facility-named medical director can be updated with payors.

  • Maintain approved drafts of Physician Agreements and Nurse Practitioner Agreements for specific roles, sites, and levels of care. Prepares Agreements for new medical providers, submits to Chief Medical Officer for approval, then sends to new hire via DocuSign.

  • Draft and send for signature Nurse Practitioner Collaborative Practice Agreements for Walden, as needed.

  • Serves as point person for any escalation of medical staff IT needs/issues including validates and troubleshoots access to necessary record systems including EMR (Kipu), e-prescribing (Dr. First), Walden Pharmacy, company email, and other access for all Physicians and NPs. Serves as the escalation point person for onboarding issues related to system access, collaborating with internal teams and external partners (Kipu, Dr. First) to resolve access issues for new providers and medical leadership.

  • Manage Walden FPPE for new medical staff and OPPE for ongoing medical staff.

  • Assist in the preparation, formatting, and distribution of reports, presentations, and other documents. Maintain organized records and files, both electronic and paper-based.

  • Manage physician and medical leadership administrative tasks like mailing, faxing, filing, copying,etc.

  • Assist with the onboarding of new medical staff, ensuring proper documentation and communication throughout the process and meetnew staff upon arrival.

  • Act as an onsite point of contact and administrative support for Medical team leaders and staff.

Qualifications:

  • Bachelor’s degree in healthcare administration, business, or a related field preferred.

  • 4+ years of experience in healthcare administration, ideally in a behavioral health setting.

  • Familiarity with credentialing processes, including knowledge of Joint Commission standards and other regulatory requirements.

  • Proficiency in credentialing and office software (Microsoft Office, database management).

  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities effectively.

  • Excellent verbal and written communication skills, with the ability to interact with both internal and external stakeholders.

  • Ability to work independently and collaboratively, both on-site and remotely.

  • Must work on-site at least three (3) days per week.

Work Environment:

This is a hybrid position, requiring three standard on-site days at Walden Behavioral Care in Dedham, MA, and two remote workdays. Regular communication and coordination with Chief Medical Officer, medical staff, administrative teams, and external agencies are essential to the role.
