Applied Research Solutions Administrative Associate in Dayton, Ohio

ARS is seeking a full-time Administrative Associate with broad administrative support experience within the Department of Defense (DoD) to work on-site at the Air Force Institute of Technology at Wright-Patterson Air Force Base.

Responsibilities include:

  • Provide administrative support to government personnel, including the Dean and Associate Dean; track and schedule leadership staff meeting frequencies; and schedule Department Head reviews between the Dean and Associate Dean.

  • Ensure the school operating instructions are current.

  • Maintain the AFIT/LS conference room schedule and the AFIT/LS SharePoint site.

  • Update and maintain additional duty rosters, assignment letters, organizational charts, recall rosters and phone listings; assist with the new employee in-processing system and arrange for official photos and name plates for all assigned individuals.

  • Track suspense requirements in the government-provided system and ensure faculty consulting is updated in the appropriate database.

  • Assist with AFIT/LS internal and external strategic communication.

  • Provide a wide range of other administrative support services to the AFIT faculty and staff in support of courses and programs managed by the school

  • Provide administrative support with various systems, such as Air Force Records Information Management System (AFRIMS) and other organizational databases.

  • Provide assistance with presentation formatting (i.e. aspect ratio, PDF, upload to LMS).

  • Assist with ordering office supplies, gathering requests for supplies, and preparing and itemizing various lists for supplies/equipment to be procured by the Government office.

  • Upload faculty consulting details in database.

  • Review, edit, change and monitor daily schedules of the Dean and Associate Dean.

  • Other duties as assigned

Qualifications/Technical Experience Requirements:

  • Must be a US citizen

  • Must have and maintain eligibility for a CAC

  • 3-10 years of experience within the Department of Defense (DoD), with a minimum of two (2) years' applied experience in administrative support

  • Proficiency in Microsoft Office Professional Office Suite Software applications and Adobe Acrobat

  • Able to understand the day-to-day operational needs of customers, identify and execute moderately complex business processes, and propose solutions that meet user needs

  • Effective oral and written communication skills
