About the role 

AeroFarms, a leader in sustainable agriculture, is seeking a dynamic, detail-oriented, diligent, and proactive Shipping and Receiving Coordinator to oversee the efficient flow of goods in and out of our warehouse facility. This role entails managing both clerical tasks within our ERP system and hands-on coordination of shipments and receipts. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency in ERP systems to ensure accurate documentation and smooth logistics operations. 

Responsibilities 

Clerical Receipts Documentation in ERP System:    

Records all incoming shipments accurately in the ERP system, including verifying quantities and item details.   

Ensures timely and precise documentation of receipts to facilitate inventory tracking and reconciliation.   

Ensures compliance with company policies and industry regulation.  

Clerical Shipping Documentation in ERP System:  

Able to record, generate, and maintain shipment paperwork within the ERP system, including packing slips, bills of lading, and shipping labels.  

Able to coordinate with carriers and logistics partners to schedule outbound shipments and ensure compliance with customer requirements.  

Shipping responsibilities coverage when other team members out of office  

Paperwork Filing:  

Responsible for organizing and maintaining all required paperwork related to receiving activities, and to help with shipping document files ensuring easy accessibility for audits and inquiries.  

Meets all company policies for required documentation storage and retention  

  

Inbound Shipping Coordination:  

Schedules and coordinates the arrival of inbound shipments, communicating with suppliers and internal stakeholders when their items are received to ensure notification and pickup of items along with timely receipt and processing in ERP system.  

Coordinate with warehouse personnel to allocate appropriate storage space and unload incoming goods efficiently.  

Coordinates all loads to maximize efficiency and minimize shipping costs.  

Ensure internal PICKLT labels are available for labelling of all boxes and pallets for put away.  

Outbound Shipping Coordination:  

Assist in preparing outbound shipments by Generating shipping labels and coordinating with carriers for timely pickups.  

Ensure accuracy and completeness of outbound shipments to meet customer expectations and delivery deadlines by auditing and checking pallets for accuracy against orders after warehouse team packs pallets for shipments  

Prepares and registers all temp-tail monitoring devices for monitoring loads during transit for temperature deviations.  

Performs excellent, concise, and consistent communication with all internal and external stakeholders regarding shipment status as needed.  

Backup for Department Manager:  

Learns and understands department requirements to be able to operate as a short-term backup support for the department manager in their absence, including overseeing daily operations, providing coordination/scheduling direction to warehouse staff, and resolving any issues that arise.  

Assist Department Manager in team building initiatives and fostering a positive work environment within the warehouse team promoting open and transparent communication across the team.  

ERP System Proficiency:  

As a core responsibility, it will develop and demonstrate high capabilities in use and understanding of the ERP system to help the department increase performance and accuracy and use of the system.  

Knowledgeable in all job functions to help with new hire training and development as needed and assistance in ERP entry and interfaces with all department roles.  

Utilize ERP system functionalities effectively to perform various tasks such as inventory reconciliation, cycle counting, and generating reports.  

Troubleshoot any ERP system issues and collaborate with IT support to ensure smooth operation of logistics processes.  

Communication Management:  

Answers all emails, TEAMS, and calls related to the shipping and receiving department promptly and professionally.  

Effectively communicates with internal procurement team for purchase of indirect shipping support materials. Responsible for coordinating parcel shipments and helping resolve any issues. 

Performs all other duties and tasks as requested by department management. 

Candidate requirements 

  • High school diploma or equivalent; additional education or certification in logistics or supply chain management is a plus.  

  • Proven experience with the ability to oversee other’s work, coordinate worker schedules, provide front line oversight of department when manager out of office.  

  • Experience in shipping and receiving coordination, preferably in a warehouse or distribution environment highly desirable.  

  • Proficiency in using ERP systems for inventory management and logistics operations; familiarity with SAP, Microsoft Dynamics 365, or similar platforms is desirable.  

  • Strong attention to detail and accuracy in recording, filing, and documenting shipping/receiving transactions.  

  • Excellent organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.  

  • Effective communication skills to interact with internal teams, external vendors, and logistics partners.  

  • Ability to work independently with minimal supervision and collaborate effectively within a team.  

  • Flexibility to adapt working hours occasionally due to changing priorities and occasional overtime to meet business needs.  

  • Knowledge and understanding of GMP (Good Manufacturing Practices) requirements for food manufacturing, storage, and distribution in line with FDA/USDA requirements.  

  • Ability to oversee and support inventory control principles, lot traceability requirements, and shipping/receiving procedures.  

  • Strong focus on employee and food safety.
