Summary The Primary Purpose of the Position is: To provide administration, quality assurance and independent evaluation for the efficient and effective functions of Chaplain Service. The Organizational Location of the Position is: Chaplain Service, Office of the Director, VA North Texas Health Care System, Dallas, TX. Responsibilities Duties include, but are not limited to: Management Assistant is involved in the day-to-day operations of and assists in coordinating the activities and programs of Chaplain Service. Management Assistant reviews weekly workload for all Chaplain Service staff and Clinical Pastoral Education residents. Reviews staffing levels, and either resolves discrepancies or reports changes and/or identified problems to the Chief, Chaplain Service. Revises work schedules and/or assignments of staff chaplains, CPE residents, and/or community ministers. Management Assistant will update policies and procedures, collect statistical data and maintain workload records. He/She will prepare and maintain work schedules and on call rosters to distribute workload and assure Chaplain on-call coverage for the facilities overnight and on weekends. Management Assistant will service as an alternate timekeeper for Chaplain Service. Management Assistant performs special analytical studies designed to resolve critical organizational or functional problems within Chaplain Service and as they relate to the VANTHCS; such as researching workload/progress note entries and performing chart audits. Management Assistant will analyze and evaluate the efficiency and effectiveness of the program operations of Chaplain Service, identify problem areas and provide management with solutions to correct problem areas. Management Assistant will conduct data validation studies to ensure accurate data is being collected and entered on inpatient and outpatient activities. Management Assistant assists in the planning and organization of bi-monthly Memorial Services honoring recently deceased veterans, their families and staff members. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/11/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Customer service responsibilities and/or public liaison duties; Uses management reporting systems to obtain information and create reports; Assists in the evaluation of the overall planning activities of the service in relation to policies and plans; Analyzes and evaluates the efficiency and effectiveness of the program operations and makes recommendations; and Full range of administrative support functions. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
