Description

We are offering a direct hire/permanent employment opportunity for an Administrative Assistant in the retail industry, specifically within a luxury shopping mall. This role is based in Dallas, Texas and focuses on providing comprehensive support to our maintenance team and liaising between our valued retailer tenants and the maintenance department.

Responsibilities:

• Serve as the primary contact for retailer tenants for maintenance-related inquiries, complaints, and suggestions.

• Efficiently manage work orders and service requests from retailer tenants, which could range from escalator maintenance, elevator repairs, light bulb replacements, water leaks, roof repairs to cleaning services requests.

• Collaborate with the maintenance teams to ensure all work orders are understood and resolved promptly and efficiently.

• Monitor the progress of work orders, keeping all relevant parties informed.

• Maintain accurate records of all requests and their completion status, ensuring our database is regularly updated.

• Assist the Maintenance Department with routine administrative tasks such as scheduling, filing, and correspondence.

• Facilitate communication between the maintenance department and other departments within the mall.

• Prepare and disseminate correspondence, memos, and forms amongst the teams.

• Contribute to the team effort by accomplishing related tasks as required.

• Accurately manage customer credit applications and maintain precise customer credit records.

• Handle inbound and outbound calls, providing excellent customer service.

• Utilize Microsoft Office Suite for data entry, email correspondence, and scheduling appointments.

Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook

• Strong customer service skills and experience in handling inbound and outbound calls

• Ability to schedule appointments and manage work orders efficiently

• Experience with data entry and email correspondence

• Prior experience in dispatching would be advantageous

• Excellent time management and organizational skills

• Ability to handle multiple tasks and prioritize effectively

• Strong written and verbal communication skills

• Detail-oriented with a focus on accuracy and quality of work

• Ability to work well in a team-oriented environment

• Ability to maintain confidentiality and handle office matters with utmost professionalism

• Demonstrated ability to learn new software and systems quickly.
