POSITION SUMMARY:
The Receptionist is responsible for providing administrative and clerical support for the Community Services Program of Community Council of South Central Texas, Inc. and assisting in providing disaster relief assistance to individuals who have been negatively impacted by COVID-19.
ESSENTIAL JOB DUTIES AND FUNCTIONS:

- Greets public in a pleasant manner, welcomes on-site visitors and answers phones and answers inquiries about agency program and operations.
- Directs visitors and callers to appropriate resource or personnel, takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers questions about organization and provides callers with information as needed.
- Assists with scheduling appointments for clients and advises clients of the documentation needed for appointment.
- Assists clients with collecting documentation required to receive services.
- Assists with receiving and distributing incoming mail, packages, equipment and supplies; arranges for the posting of outgoing mail.
- Monitors fax machine for incoming correspondence and distributes accordingly.
- Performs general clerical duties including typing correspondence, entering data into the computer, making copies, and maintaining filing systems.
- Assists with maintaining a clean office which includes wiping down and disinfecting all office surfaces and equipment, removing trash and debris from lobby and office area, maintaining clean restrooms and ensuring handwashing and germ prevention posters are displayed in office bathrooms.
- Ensures offices are equipped with the proper cleaning and disinfecting supplies such as Lysol spray, Lysol wipes, hand soap, hand sanitizer, paper towels and Kleenex.
- Assists with activities to provide disaster relief to clients including commodity distribution, food drives, outreach event and special projects as needed.
- Maintains confidentiality of all records and information regarding agency staff and clients.
- Follows CCSCT Policies and Procedures and maintains confidentiality in all phases of agency operations.
- Demonstrates an understanding of the agency mission and takes pride in achieving that mission.
- Familiarizes self with the agency's Strategic Plan, including its goals and strategies and works collaboratively with other agency staff to achieve identified outcomes.
- Attends and participates in staff meetings and related activities; attends conferences, workshops, and trainings to increase professional knowledge; serves on committees as assigned.
- Performs other related duties as assigned or required.
SUPERVISORY RESPONSIBILITIES:
This position has no supervisory responsibilities.
JOB REQUIREMENTS:
Minimum Education and Experience
- High school diploma or equivalent required
- Minimum of six (6) months clerical, administrative or related work experience.
- Demonstrated experience working for a non-profit organization or community action agencyweatherization and/or energy program
- Bilingual in English and Spanish a plus.
- Must successfully complete a pre-employment criminal background check and drug test.
Knowledge, Skills and Abilities
Knowledge of administrative, office and clerical procedures and systems such as word processing, creating spreadsheets, managing files and records, transcription, designing and developing forms, a d other office procedures and terminology.
Must have a working knowledge of computers, internet and intermediate to advanced skills in Microsoft Office.
Must be able to type at least 45+ wpm and operate a computer and other office machines such as fax, calculator, scanner, printer, copier, and telephone.
Excellent oral and written communication skills including the ability to explain program objectives and procedures to program participants.
