Cuyuna Regional Medical Center * Business Office Crosby, MN Management Full Time, Professional FTE: 1.0 FTE (80 hours per pay period) Weekend Requirements: No weekends Posted 10/11/2024 Req # 13576 POSITION SUMMARY The Patient Financial Services Manager is responsible for overseeing the administrative and financial functions of the health system's billing and payment services . This role ensures that billing and payment operations are efficient, aligned with company goals, and compliant with all applicable regulations. The Patient Financial Services Manager supports departments and staff in managing workflows, policies, and procedures to enhance customer service, productivity and support overall strategic accounts receivable goals. POSITION QUALIFICATIONS Education and Experience: Minimum of 2 year Associates Degree required; Bachelor's degree in Business Administration, Office Management or related field preferred. 3-5 years experience in a health care Business Office/HIM preferred. Prior supervisory experience required. Proficiency in Microsoft Office software and accounting software. License/Certificates: N/A Special Skills and Aptitudes: Ability to deal with the public and answer questions professionally Experience and knowledge of Business Office and Health Information Knowledge of basic accounting principles, budgets and report writing. Must possess strong leadership, communication and problem solving skills Good time management and prioritization skills Effective interpersonal relationship skills including good listening and communication skills Ability to communicate effectively in a variety of settings and with a wide variety of people and different organization levels Ability to effectively supervise employees and lead a team Ability to handle confidential information discreetly and appropriately Ability to develop and implement plans for department operations Ability to adapt resources to meet the needs of the situation Ability to handle difficult situations involving patients, physicians, or others in a professional manner ESSENTIAL RESPONSIBILITIES Office Operations: Manage daily billing and payment operations and coordinate office activities to ensure efficiency. Oversee administrative processes such as mail, supplies, filing and scanning. Maintain office equipment, supplies inventory, and vendor relationships. Implement and enforce facility policies and procedures. Team Management: Supervise and support billing and payment staff, including financial advisors, data analysts, claims analysts, prior authorization, and denials management. Delegate tasks and manage workflow for the support team. Conduct performance reviews, staff training, and recruitment as needed. Monitor team performance and productivity for process improvement opportunities. Assist the director in managing timecards and updating schedules Financial Management: Oversee accounts receivable aging reports by patient balance. Measure progress towards outstanding patient accounts receivable, escalating barriers to collections as appropriate. Handle basic accounting tasks, including invoicing, expense tracking, and payroll management. Prepare and manage office budgets, monitor expenditures, and forecast financial needs. Work with finance teams to ensure proper billing and collections processes. Customer and Client Relations: Serve as the primary point of contact for clients, vendors, and business partners. Resolve any issues related to billing, accounts, or service complaints. Maintain professional relationships with external service providers and ensure contractual obligations are met. Compliance and Reporting: Ensure compliance with company policies, local, and federal regulations. Prepare reports, presentations, and statistical data for senior management. Keep accurate records of office activities, financial transactions, and employee documentation. Technology and System Management: Oversee the implementation and maintenance of office software, data ases, and information systems. Work with IT support to address technical issues and ensure proper security protocols are in place. Support to Senior Management: Provide administrative support to executives, including scheduling meetings, preparing reports, and managing communications.
