DESCRIPTION: Under the direction of the City Manager, performs highly responsible professional work serving as a key liaison between the administrative and legislative branches of City government. This position is the principal coordinator for all administrative functions and activities within the Administration Department and is responsible for managing and coordinating schedules for the City and Deputy City Managers, Mayor and Council. This position assists the PIO in coordinating and distributing information to\ news media outlets, local, State, Federal and Tribal governments, and ensures seamless communication between all departments.

This position coordinates special projects, interdepartmental initiatives, and\ assists the City Manager in the implementation of policies set by the Mayor and City Council. This position provides advice and support to the City Manager, Mayor, City Council, various officials, departments, boards, and committees in the implementation and administration of City policies, goals, and objectives.\ Performs a crucial role in maintaining the efficiency and effectiveness of the executive operations and requires minimal supervision, with significant initiative and discretion in daily activities.\ CLASSIFICATION: This is an exempt, full-time, classified position with full benefits that serves at the pleasure and will of the City Manager.\ ESSENTIAL FUNCTIONS: Essential functions, as defined under the Americans with Disabilities Act, may include the following tasks, knowledge, skills and other characteristics. This list is ILLUSTRATIVE ONLY, and is not a comprehensive listing of all functions and tasks performed by incumbents of this classification.\ TASKS: Schedules appointments and coordinates and maintains City calendars for the City and Deputy City Managers, Mayor and Councilmembers.\ Screens and responds to incoming mail and telephone calls to City Hall, the City Manager, Deputy City Manager, Mayor and City Council.\ Arranges special meetings and responds to sensitive requests for information that may involve confidential matters.\ Assists the PIO with coordination and acts as a liaison between the news media outlets, local, State, Federal and Tribal governments, including the legislature, and the legislative branch of city government.\ Facilitate communication and collaboration between the Mayor, City Council, City Manager, and other local and regional officials.\ Coordinate special projects and interdepartmental initiatives to ensure alignment with City goals and policies.\ Support the implementation of policies set by the Mayor and City Council.\ Develop strategies for the effective administration and operation of the City in line with established policies,\ goals, and regulations.\ \ Provide input to the City Manager, Mayor, City Council, and various officials, departments, boards, and committees.\ Offer guidance on the development, implementation, and administration of policies, goals, regulations, and statutory requirements.\ Perform a variety of management duties as directed by the City Manager.\ Exercise initiative and discretion in handling daily activities and decision-making.\ Assists in writing a wide variety of correspondence and documents for internal and external use including, but not limited to complex documents, public service announcements, proclamations, monthly statistical reports, community surveys, managers report, etc.\ Collaborates with department heads and other employees in organizing, planning, coordinating and implementing programs, studies and other matters as required by the City Manager.\ Research for expenditures; assist and/or prepare bid for expenditure projects; point of contact for vendors; oversee installation and end user needs; maintain support contracts an maintenance agreements as required by the City Manager.\ Assists Human Resources in developing, coordinating and facilitating new employee orientation.\ Actively participate in meetings within the City organization (e.g. executive staff meetings,\ supervisory/disciplinary meetings, information release, etc.), as well as council meetings; code review meetings; emergency planning sessions, civic organizations, and others as assigned by the City Manager.\ Plans, coordinates and manages special projects and performs as supervisor as assigned by the City Manager.\ Provides support to the City Manager in reviewing and processing day-to-day approval requests (i.e. education, travel, personnel action forms and others), and produces correspondence as needed.\ Coordinates responses to citizen inquiries in collaboration with appropriate City departments and follows up to ensure resolution.\ Researches, responds and follows-up to City Council requests for information and public inquiries by facilitating unified communication between members of the City Council, City management, City staff and the public to ensure resolution.\ Provides support for the Mayor and City Council including duties such as scheduling and coordinating meetings, preparing various correspondence, and taking meeting minutes.\ Coordinates travel and training, conference arrangements; prepares timesheets for Administration Department; maintain
