Job Summary

The College of Agricultural Sciences is seeking a Research Program Coordinator – Project Manager. This is a full-time (1.00 FTE ), 12-month, professional faculty position.

The College of Agricultural Sciences is Oregon’s principal source of agricultural and food systems knowledge and a significant source of knowledge regarding environmental quality, natural resources, life sciences, and rural economies and communities worldwide. The college’s 14 departments (three of which are joint with the College of Science) provide undergraduate and graduate education, leading to 13 baccalaureate and 30 graduate degrees and extended education programs throughout Oregon and beyond. With over 3,000 students, 280 professorial faculty, and exceeding $160 million per year in expenditures, the College of Agricultural Sciences ( CAS ) is a complex organization. In addition to the main campus, CAS has faculty-located Branch Experiment Stations in 13 agroecozones across the state and Extension Faculty in each county. CAS is well known for its collaborations among state and federal agencies. Our researchers and Extension faculty work closely with agency partners in EPA , USDA ARS , USGS , US Forest Service, US Navy, USDOE , NIH , NOAA , NMFS , USFWS , as well as state agencies, local governments, and professional organizations. CAS supports faculty in the College of Veterinary Medicine, College of Health, and the Chemistry, Microbiology, and Statistics departments in the College of Science.

Regional industries and commodity groups are also important partners. Oregon’s remarkable agricultural diversity, with more than 220 commercial commodities, means that many commodity groups depend on OSU research and development to improve their varieties and expand their markets.

The Research Program Coordinator (Project Manager) is a member of the College of Agricultural Sciences research management team. Responsible for management of large externally and internally funded projects. The position provides high-level project management and administration that facilitates strategic planning, efficient resource management, and effective operation and communications of project activities, in support of project administration, technical advisory, technical assistance, and research teams (project teams). The Program Coordinator leads in establishing project policies, procedures, and grant administration in collaboration with the project teams. The position directs the production of required reports and acts as a liaison between project teams and all support services (internal and external to Oregon State University ( OSU )) needed for the conduct of projects. The Program Coordinator works with OSU Financial Strategic Services to manage complex budgets, provides direct assistance to project partners and ensures that funding agency requirements are met during project execution and funding close out. The Program Coordinator prioritizes and completes multiple tasks with various deadlines while working closely with the project teams. Key Responsibilities

50% Project Delivery

  • Provide high-level support to project administrators, technical advisory, technical assistance, and research project teams for day-to-day project management, assisting in the implementation of robust project management processes aligned with best practices.

  • Organize project events such as project team meetings, workshops, and seminars across multiple states and multiple groups. Coordinate event preparation, including publicity and agenda development, document event outcomes, and identify further actions as needed.

  • Direct the timely preparation of required accomplishment reports, gathering and synthesizing contributions from team members and internal and external partners.

  • Maintain timely and effective communications and work as a partner with OSU Financial Strategic Services staff to ensure appropriate use of and accountability for funding.

  • Maintain detailed project timelines and help the project teams track their progress on tasks, milestones, and deliverables to enable effective monitoring, revision, and evaluation of project activities.

  • Liaise with campus offices overseeing regulatory compliance issues such as conflict of interest, human subjects research, and other required trainings for the research teams. Direct the preparation of related applications, reports, and other documents as specified by project government and foundation sponsors.

  • Manage time and resources across multiple projects.

25% Operations and Resources Management

  • Monitor budgets and resources to meet research project objectives, ensure compliance, and anticipate future project needs. Prepare regular required reports and spending plans as needed.

  • Devise, recommend and implement solutions to programmatic challenges, develop plans for improvements, and provide assessment of project operations. Provide tools and training for project teams as needed.

  • Research internal and external policies and procedures when questions arise.

  • Use independent judgment to initiate actions in support of project operations.

  • Coordinate and manage project administrative operations such as hiring, making subawards, contracting, and fiscal management in partnership with other internal units as necessary.

20% Communications and Relationship Management

  • Build and maintain collaborative and effective relationships with internal and external partners including commodity organizations, processing companies, farmers, American Indian tribal leaders and land managers, and others; serve as a point of contact to advance each projects’ objectives as appropriate.

  • Recommend and develop team collaboration and communication processes and tools, adapting to the work style and needs of project teams and members. Share ideas based on best practices and lessons learned.

  • Track and communicate project reporting metrics and outcomes, developing outreach and marketing materials such as websites, reports, and fact sheets to promote project accomplishments.

5% Lead Work, Supervision, and Other Activities

  • Other project-related activities as needed on behalf of project leaders or the College of Agricultural Sciences.

  • May lead and direct the work of others.

What You Will Need

Bachelor’s degree in a STEM field, Business Administration, or related field.

Minimum of five combined years of experience providing project management, project coordination, and/or advanced administrative support.

Demonstrated ability to plan, organize, evaluate, prioritize, manage, and meet deadlines.

Demonstrated ability to manage multiple project activities simultaneously.

Demonstrated high-quality written and verbal communication skills.

Demonstrated ability to make independent decisions and recommendations.

Demonstrated ability to act as a resource to a wide variety of constituents.

Demonstrated ability to take initiative and lead within an organization.

Ability to work effectively with ability to work effectively with individuals from/of diverse backgrounds.

Proficiency with Microsoft Excel or other spreadsheet software (such as creating formulas, data linking, filtering, conditional formatting, or similar).

Demonstrated ability to provide excellent customer service to a diverse and broad group of internal customers with varying backgrounds, needs, and identities.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

What We Would Like You to Have

Master’s degree in a STEM field, Business Administration, or related field and two years combined experience in project management, coordination and/or advanced administrative support.

or

Five years of experience providing project management, project coordination, and/or advanced administrative support for one or more longer-term projects.

Experience balancing work between multiple teams, projects, or supervisors.

Demonstrated ability to perform professional activities such as clientele engagement, conducting research, delivering effective presentations, and technical writing.

Experience in research support, budget management, executive leadership support, office management, event planning, or similar activities.

Experience working in an extension and research information delivery setting.

Experience working in higher education or government service.

Experience working with Native American nations or in international settings requiring cross-cultural skills.

Demonstrated ability to build respectful working relationships.

Understanding of delivery of USDA conservation programs or similar government-supported programs.

Working Conditions / Work Schedule

Project management activities require working outdoors and occasionally working in extreme heat or cold conditions in remote field locations with uneven terrain.

Project management activities may require travel overnight and on weekends.
