The Patient Care Representative ensures seamless patient experiences by coordinating appointments, managing communications, and maintaining precise documentation across healthcare systems. This role encompasses scheduling, insurance verification, and compliance with regulatory standards, while fostering effective communication among patients, medical staff, and administrative teams to optimize care delivery. DUTIES/RESPONSIBILITIES: Deliver exceptional patient experiences during all interactions, including phone communications, office visits, and addressing concerns or complaints. Schedule patient appointments and injections according to company guidelines and availability. Answer phones and operate a multi-line phone system and standard office equipment (fax, copy, scan, email). Verify insurance benefits and obtain referrals and authorizations. Maintain current account receivables and accurately apply received payments. Stay informed about healthcare insurance and billing processes. Scan and upload documents, and accurately document all appointment-related tasks in Practice Management (PM), electronic medical records (EMR), and other required systems. Post and maintain office notices as directed. Act as a communication liaison between patients, staff, and physicians. Adhere to regulations, standard operating procedures, and state laws. Willingly cross-train and support other clinical areas as needed. Performs other related duties as necessary or assigned. EDUCATION AND EXPERIENCE: High school diploma or equivalent. Additional certification or coursework in medical office administration or related field a plus. Previous experience in a medical office setting required. Bilingual (Spanish/English) a plus. PHYSICAL REQUIREMENTS: Ability to move between different clinical areas as required. Ability to sit at a desk and stand for extended periods of time throughout the day. Capable of lifting up to 40 pounds. Ability to bend, stoop, and reach for files and supplies as needed. Manual dexterity for operating office equipment, typing, and performing tasks. Visual acuity for reading documents and operating computer systems. Capacity to communicate effectively in person, over the phone, and through written correspondence.
