The Senior Program Coordinator for Graduate Professional Programs reports to the Director and is responsible for providing general oversight and support for the graduate, professional, and Accelerated Plus One degree programs within the Office of Professional Studies. In addition, this role assists with all aspects of the admission and recruitment process.
The ideal candidate will have the ability to engage and support a diverse student body, and work effectively with faculty, administration, and external agencies with minimal supervision. They should be adept at building strong relationships, including prospective students, and excel as a team player to successfully execute initiatives that increase enrollment and build affinity for the College’s programs.
Admissions
Provides assistance and support for student participants in all of the program including the receipt and processing of applications for admissions, scheduling interviews, registering students, and maintaining applicant and participant databases.
Maintains the admission files in Slate to ensure accuracy and easy retrieval for daily operations and annual audits, tracking the sources of the inquires that come in by program and maintaining the lead acquisition funnel.
Serves as the first point of contact for all graduate, professional and accelerated degree programs including registration, initial enrollment of deposited students, monitors course enrollment projections, and manages the continued registration of incoming students
Assists the recruitment efforts of the College of Arts & Sciences’ professional master’s degree programs, including attending recruitment fairs on behalf of the programs as needed.
Assists in the onboarding of new graduate students and maintaining student records
Serves as the point of contact for international applicants and students, working with international applicants to ensure that their student records are current and that they are aware of all requirements towards academic progress; works with the International Admission Office to process all required international documentation for program applicants.
Program Support
In coordination with program directors, builds course schedules and enters scheduled courses and instructor assignments into CLSS and processes co-listing requests; corresponds with program directors regarding details of scheduling and room assignments.
Registers graduate students for courses using University procedures and systems; processes drop / add forms for graduate students, graduation clearances, and graduate student progress monitoring including probation, continuous enrollment, leaves of absence, and readmission.
Meets with students to advise on course selection, academic progress, and degree planning; Assists with course selection based on student goals and interests.
Serves as a liaison between faculty, students and the University and colleges. Works closely with students and faculty to continuously evaluate their learning experience to improve quality and value of the program.
Ensures administrative processes and associated forms for instructor services are completed in a timely manner. Responds to various instructor requests that include but are not limited to: schedule changes, event requests, room requests/complaints, retrieval of materials, copies of student evaluations and payroll issues for all graduate and professional programs.
Assists with database maintenance and enrollment management. Monitors program and student and faculty reports as needed.
May plans and participate in open houses for the Office of Professional Studies.
Works closely with the Office of Student Services, the Department of Classroom Management and the Registrar's office to resolve any issues regarding graduate courses, room assignments and issues with 25Live for the Office.
Administrative
Responds to telephone, email and internet submissions for all programs and provides additional assistance as needed. Drafts and initiates correspondence, develops agendas, maintains calendars, assists in accumulation of reference materials, and coordinates and attends committee meetings including preparing meeting materials, recording minutes, and assisting with follow-up activities.
Completes special projects or assignments which may include coordination of special events, arranging orientation, development and implementation of student recruitment initiatives, and ordering food for events.
Assists in events planning (logistics, contracts, hospitality, travel, etc.) and staffing, including on campus open houses, virtual events and webinars, annual orientation and graduation celebrations, and professional development seminars for graduate and professional students.
Provides staff support and coordination for the Young Scholars Program, including working with faculty to match high school students with appropriate mentors and assisting with program logistics.
Updates course booklets and course lists as needed, in print and online.
Maintain and grow list of graduate internship opportunities.
Issues digital badges and certificates.
Supports instructor hiring, working with program directors, department personnel, and partners to advertise available positions, schedule interviews, and document interview.
Maintains curriculum materials and process documents related to faculty and course scheduling, such as faculty onboarding materials, faculty meeting notes, and curriculum planning documentation (and enters into CIM).
Performs other duties as assigned
Minimum Qualifications
High School Diploma required; Bachelor's degree preferred.
Minimum 3 years of experience. Any relevant education, certifications and/or work experience may be considered.
