The Sr. Program Coordinator provides administrative support to faculty and acts as a liaison between faculty, students, other University units, and external entities and organizations. This role is integral to creating a transformative student experience, supporting institutional goals, and building a vibrant, inclusive campus community.

CORE JOB FUNCTIONS

  • Works closely with students to continuously evaluate their learning experience and improve the quality and value of the program.

  • Develops strategic partnerships with external entities and organizations.

  • Provides support, as needed, in monitoring monthly budget reports to ensure operations are within the plan.

  • Ensures administrative processes and associated forms services are completed in a timely manner.

  • Responds to various student, faculty, and prospective student/family requests via telephone, email, virtual room, or any other form of communication.

  • Coordinates logistics and participates in events in support of the Undergraduate Jaffee Center and Miami Herbert Business School.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Education:

High school diploma or equivalent

Experience:

Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:

  • Strong organizational skills with the ability to analyze, prioritize, and manage multiple tasks effectively.

  • Self-motivated and resourceful, with a proactive approach to problem-solving and initiative.

  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.

  • Flexibility to work evenings, nights, and weekends as needed to meet departmental goals.

  • Proficiency in Microsoft Office Suite and other relevant software tools.

DEPARTMENT ADDENDUM

Department Specific Functions

  1. Office Operations
  • Manage office supplies, ensuring timely orders to support seamless operations.

  • Oversee front desk operations, including phones, virtual meeting platforms, and traffic flow in the Jaffee Center, ensuring a welcoming and efficient environment for students, faculty, and visitors.

  • Manage recruiting, hiring, scheduling, training, and supervising Jaffee Center student employees, promoting their professional growth.

  1. Student Recruitment, Engagement and Outreach
  • Interact with prospective students and families visiting Miami Herbert, providing an exceptional experience and showcasing the school’s offerings

  • Support recruitment initiatives as needed.

  • Foster close relationships with students, faculty, and staff by maintaining effective communication and robust support for academic and engagement initiatives.

  • Support the Student Life and Engagement Team’s mission by reinforcing Miami Herbert’s commitment to a personalized student experience.

  1. Program Coordination and Reporting
  • Assist with Undergraduate engagement program logistics, including but not limited to event planning, scheduling, marketing, outreach, and budgeting.

  • Coordinate promotion and selection process of select special scholarships and programs.

  • Analyze program outcomes through data collection and assessment for continuous improvement.

  1. Other duties as assigned
