The Administrative Receptionist works closely with the Executive Coordinator to ensure the efficiency of the spa, and overall satisfaction of clients and employees while meeting the annual fiscal objectives. This position is an integral part of the spa team and first direct point of client communication and satisfaction.

Summary of Responsibilities

  • Support Owners team in overseeing daily operations.
  • Adhere to and ensure standards for quality, customer service, health & safety, and spa policies are met.
  • Attend outside marketing events as assigned in support of the Brand (as needed)
  • Knowledge and understanding of all spa services and products.

Direct Responsibilities:

Meet and greet all incoming clients. Ensure that the reception/front desk area and telephones are being covered properly, kept clean. Foster and nurture positive relationships with clients. Ensure all procedures, practices, client interactions, and environmental factors unequivocally promote and achieve a favorable client experience. Essential functions include, but are not limited to, the following:

  • Interacting with clients in a friendly and professional manner.
  • Checking clients in and out of their appointments, pulling charts and filing.
  • Answer phones and schedules client appointments.
  • Master a basic understanding of each service offering.
  • Client scheduling, room assignments, completing sales and sales reports
  • Upsell new products/services to current clients
  • Assist with local marketing events as needed.
  • Collecting and handling payments.
  • Confirmation and follow up calls.
  • Ordering office/spa supplies.
  • Maintaining retail inventory and spa supplies
  • Open/closing duties including cleaning/sanitation
  • Other duties as assigned.

Qualifications:

  • High School Diploma/GED or bachelors degree from an accredited institution.
  • 1-2 years of customer service experience, preferably in a spa or high-end retail environment.
  • Ability to multi-task, utilize strong decision making, analytical and follow-up skills
  • Proficient with computers and contemporary software applications (MS Office & Internet, etc.)
  • Compelling interpersonal and communications skills (verbal and written)
  • Strong guest service orientation, able to work under pressure
  • Self-starter/team player, rapid learner, with the ability to grasp concepts and protocols
  • Must maintain a high attention to detail.
