Within our growing Advanced Facilities Sales team, we have an immediate requirement for an experienced Sales Operations / Proposal Specialist (Leading sales process, people and behaviours to achieve successful growth and sales outcomes for the business), to join our Sales team based in either the Conshohocken, PA, Cincinnati, OH offices or Cary, NC offices . We are looking for a talented, highly motivated and enthusiastic individual. You will be part of a busy and growing global Architectural / Engineering, Construction & Qualification business, delivering strong visual communication to our internal business sectors, whilst exploring new market opportunities externally.

PRIMARY ROLE

• Co-ordinates and develops sales documents using applicable tools, guidelines and templates.

• Works to develop and implement opportunity response plans i.e. activities, deliverables, owners, milestones etc. and monitor progress.

• Develops draft sections of sales documents that communicate the value proposition, through analysis and synthesis of raw data gathered from members of the response team.

• Conducts appropriate internal/external research and responds to internal requests for information in support of pursuit efforts for own and other offices.

• Develops new or updates existing sales qualification materials for current and future pursuit efforts in order to maximize quality and efficiency of sales document preparation.

CORE DUTIES & RESPONSIBILITIES

The primary responsibility of the Sales Operations / Proposal Specialist is to drive disciplined application of our three-phase Relationship Based Sales (RBS) Process: (1) develop and advance client relationships prior to opportunity identification (Opening Game); (2) strategically position us for specific opportunities (Middle Game); and (3) develop high-quality opportunity-specific response documents with competitive and compelling sales messages to satisfy client business goals (End Game).

Research and Analysis

• Conducts client, competitor and market research, as required in support of client and/or opportunity strategy development and provides corresponding analysis.

• Collaborates with the designated core client sponsorship team to populate SharePoint sites and supports the development of documented client strategies and related information.

Sales Material Development

• Provides writing for proposals and marketing materials, as required.

• Interacts regularly with operations personnel to support development of sales material (e.g. conducts interviews of Subject Matter Experts).

• Proofs and edits technical and non-technical documents for accuracy and consistency.

• Organizes and participates in response-related meetings (internal and/or client), as appropriate.

Opportunity Response Co-ordination

• Works with designated response team members to develop opportunity response plans in alignment with our Relationship Based Sales (RBS) process.

• Manages response efforts for client questionnaires, qualifications requests, sales opportunities that are smaller in size and/or complexity, and volumes/sections on larger opportunities.

• Works with inside/outside sales and operating segments to identify response requirements and develop a realistic approach and schedule for the response.

• Monitors progress against the opportunity response plan.

• Coordinates response reviews and approvals.

• Coordinates and/or manages production of response documents.

Knowledge and Process Management

• Maintains and supports proposal collaboration tool content and use.

• Develops, prepares, and updates/maintains non-opportunity specific / additional sales qualification and reference materials (including résumés, project descriptions and organization charts) in designated information management systems.

• Oversees various knowledge management and database systems, ensures effective use of these tools within the organization, and contributes to further development of these tools.

• Shares information (resumes, project descriptions, qualification data, etc.), knowledge, and best practices with inside sales staff company wide.

• Bachelor’s degree in Engineering, Marketing or other technical or related discipline from a four-year college or university. Similar working level obtained through relevant job experience may be accepted in lieu of degree level education.

• At least 3 years of relevant experience.

• Experienced in working within teams within fast-paced environment.

• Proficient with Adobe InDesign (not essential), Microsoft Word and PowerPoint, in a PC environment, with advanced level understanding of styles, master pages, and page formatting techniques; should possess a strong understanding of design principles and typography.

• Some experience/familiarity with creative software tools in the Adobe Creative Suite/Creative Cloud (InDesign, Photoshop, Illustrator, etc.) helpful

• Strong verbal and written communication skills.

• Strong attention to detail and an ability to establish and meet deadlines/budgets.

• Strong organizational, management and research skills with the ability to manage multiple projects at a time.

• Good interpersonal skills to build relationships across operational and sales teams.

• Proactive, self-motivator.

• Work may be required after hours and on weekends, and sometimes on short notice. Must also be willing and able to travel.
