Colorado Springs Pathology Associates Administrative Assistant in Colorado Springs, Colorado

General Purpose:

Responsible for providing a variety of administrative, clerical and reception tasks as well as daily, weekly and monthly office activities with respect to administrative support of laboratory operations and customer service

Essential Duties/Responsibilities:

Utilizes anatomic pathology laboratory software program(s) to accession, transcribe and track anatomic pathology, cytology, PAP and send-out specimens. Daily tracks outstanding/pending case reports to ensure timely and comprehensive receipt and transmittal of information to pathologists and client offices. Manage/print/disseminate pathology reports (including PAPs) for both inhouse case sign-out and distribution of final reports and addenda to clients and billing company. Label specimens and cassettes appropriately for grossing staff; collate slides for pathologist sign-out and (technical only) clients. Answer phone, type and transmit (copy, scan, fax) correspondence, and manage send-out reports/slides/blocks. Assure that CPT and ICD codes are included for all specimens. Order office supplies and ensure clients supply requests are filled promptly. Files blocks, slides, paper reports. Provides courier service as needed for clients. Communicates with courier for any client pick-up needs. Receive and sign for service (i.e. UPS/Fed Ex) deliveries. Ensures safety, security and confidentiality of patient information. Executes policies to protect the privacy of all patient information and adherence to guidelines prescribed by HIPAA and other governing bodies. Adheres to all safety/quality programs set forth by the Chief Pathologist/Compliance and Safety Officer. Maintains a professional demeanor and enhances client relationships whenever possible.

Supervisor Duties:

Not Responsible for supervising staff.

Job Qualifications:

Knowledge, Skills and Abilities

Must possess and use comprehensive communication at all times with all staff and clients so that information is effectively and consistently transmitt Willing to learn AP Easy, Storm Path and any other anatomical pathology software program in order to accession, transcribe, print, scan, fax and track pathology reports. Must be fluent in Microsoft Office and Excel programs. Must be familiar with medical terminology. Must possess a valid Colorado driver's license and auto insurance for personal vehicle. Must possess interpersonal skills and handle multiple projects at once. Must prepare reports and business correspondence. Must deal effectively with a diversity of individuals at all levels of the organization. Must make timely and sound decisions. Commitment to excellence and high standards. Must be versatile, flexible, and willing to work within changing priorities.

Education/Experience

High school diploma or equivalent, some post-secondary education desired or at least 1 years of experience in a pathology/clinical laboratory environment.

Work Environment:

Normal Laboratory work environment. General office work environment.

Physical Activities:

Prolonged sitting, some stooping and stretching required. Requires offsite visits/training to satellite facilities. Visual and auditory acuity for communication responsibilities. Hand eye coordination and manual dexterity sufficient to operate a computer, keyboard, photocopier, phone system, fax and office equipment Lifts and carries items weighing up to 20 pounds.
