What We Want

The Administrative Coordinator I will work to provides administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance. This position conduct annual inventory/surplus equipment, coordinate with, and supervise work of IT, Building Proctor, and Facilities Management to address issues as they arise. In addition, they will book transport and accommodations for researcher and Center personnel travel, and create itineraries. What You Need to Know

Starting Salary: $45,000 per year

Special Note: Due to this position’s salary having all or a portion of it being funded by grants or contracts, the continuing salary and overall employment is contingent upon availability of these funds in the future.

Work Location: This position may require working in various locations on campus to complete the essential functions of this position.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

  • Two years of administrative, office, or related experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications

  • Ability to multitask and work cooperatively with others

  • Must have excellent interpersonal and communication skills, planning and organization skills

Preferred Education and Experience:

  • Experience with Microsoft Office Suite software, databases, Google applications, Aggie Buy, Canopy, Concur, and related technology and software

    Responsibilities:

  • Administrative Duties: Conducts annual inventory and surplus equipment. Coordinates with, and supervise work of IT, Building Proctor, and Facilities Management to address issues as they arise. Books transport and accommodations for researcher and Center personnel travel, and creates itineraries. Maintains website. Works under general supervision and provides administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance. Participates in the planning and execution of administrative operations. May serve as the office manager. Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures. Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor. Provides technical information regarding administrative procedures, services, or programs. Applies and interprets, and/or assists in implementing management policies or operating practices. Develops administrative and technical procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures.

  • Department Support: Maintains organization and neatness of the Center’s public and storage areas. Maintains the Visiting Scholar status for all the visiting researchers and facilitate Visiting Scholar applications for new researchers. Organizes meetings and manage Center’s contact database. Attends weekly Center staff meetings. Analyzes requirements for projects or initiatives. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Front Office Support: Purchase office supplies, promotional materials for events, equipment, food, and beverage for events. Answer incoming calls. Coordinates the maintenance of files, records, office supplies, or equipment.
