Description
Responsible for registering all patient types using established policy and procedures of the facility and communicate effectively with the patient/family, peers and all members of the health care team. Obtains accurate demographic information from patients and/or family members, verifies all proper insurance information, secure managed care referrals, obtain appropriate signatures on all forms, and collects co-pays at the time of service. Understands third party regulations, referrals, authorizations, Advance Beneficiary Notice, and Point of Service collections.
Essential Job Functions
Perform all patient registration area functions with a high degree of accuracy.
Keep patient flow moving by registering in a timely manner.
Verify insurances to maximize reimbursements.
Identify insurances that require out-of-pocket expense and collect payment from patient and time of service.
Complete Advanced Beneficiary Notices, referrals, and authorizations to secure payment.
Other duties as assigned.

Required Qualifications/Experience
High School Diploma, GED, or higher level of education.
Typing and customer service experience.
Strong leadership ability, good organizational skills, independent and critical thinking skills, sound judgment.
Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience.
Preferred Qualifications/Experience
Medical Terminology
Previous registration experience.
License, Certification & Clearances
- Act 34-PA Criminal Record Check from the PA State Police system
Supervisory Responsibilities
- This position has no direct supervisory responsibilities, but does serve as a coach and mentor for other positions in the department.
Position Type/Expected Hours of Work
Incumbent will be scheduled based on operational need (rotate shifts, standby, on-call, etc.).
Travel may be expected locally between System locations.

Responsibilities of all Patient Registration Staff
Registration of Patients
Obtaining accurate demographic information, scanning ID and insurance cards, collecting required consents, verifying insurances, collecting co-pays, and running estimates.
Access and print scheduling & census reports
Checking outside physician orders for accuracy & completion
Verify unknown physician licensing for state and/or federal restrictions
Attaching electronic orders to the correct accounts
Responsible for knowing the difference between all account types (clinical, surgical, client, referred, emergency, inpatient, observation, rehab) and the required documentation/processes for each one
Managing Order Facilitator
Utilizing complex computer systems for indexing/filing of physician orders, authorizations, and test results
Answering phones from within and outside the facility
- Transferring or resolving each caller’s concern with their needs
Collecting Co-Pays & Payments
Utilizing Heartland for credit payments and entering into Meditech’s cash drawer
Keeping and maintaining all receipts/checks in a secured location for accountants that come to collect them
Collections for all balances
- Interpret patient estimates and/or EDI Responses from the insurance verification to determine the amount to collect from the patient
Patient Estimates
- Create estimates on self-pay or Non-par insurances via NextBar
Assist with scheduling questions
- Navigate the Community Wide Scheduling Desktop in Meditech to address patient’s appointment location/time concerns
Assist with billing questions
- Billing is off site and patients present with questions. Assist them with interpreting the bill or getting them in contact with a CMC representative
Reducing denials
- Education and follow up on accounts per the monthly reports ran by supervisor
Admissions
- Obtaining accurate demographic information, processing electronic communication for patient type changes, verifying insurances, obtain all required signatures (consents, MOON, MEIM, etc.) & documentation needed
