JOB REQUIREMENTS: Rex Systems Incorporated (RSI), an established high reliability ISO 9001:2015 certified electronics manufacturer, is seeking a full-time Administrative Assistant. Highly qualified candidates would also have Accounting experience as listed below. Accounting experience is not a requirement, however, could allow for further opportunities at RSI for this candidate. This role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, key-record keeping and coordination among departments. The ideal candidate will have prior experience working in an office supporting multiple levels of employees. PRIMARY RESPONSIBILITIES Provide multi-department needs through administrative support. Primary assistant to executive management team. Primary back-up to office clerk / receptionist. Back-up to answer central telephone system and direct calls accordingly. Generate corporate communications to employees. Maintain corporate filing system, bookkeeping and record-keeping system. Assist in coordinating and planning company events. Assist in updating/generating corporate policies and forms. Assist in maintaining company calendar via desk planner and Microsoft Outlook. Assist in coordination and scheduling facilities services as required, communicating all scheduled services to executive management team. Assist in coordination and updating scheduled meetings for executive management; prepare conference rooms for scheduled meetings. Assist with occasional company travel arrangements. Assist in various HR tasks such as; generation of New Hire informational packets, organization of annual employee benefits renewal and annual company 401k renewal, etc. Lead the way in using a variety of office equipment (fax machine, phones, printers, postage machine) and software such as Microsoft Excel, Word, Outlook, Access databases, and IP secure encrypted communication protocols. MINIMUM REQUIREMENTS Associates degree in an Administrative Professional or similar program, or equivalent work experience. Proficient computer skills: advanced experience in Microsoft Office Suite, primarily Word and Excel. Excellent verbal and written communication skills. Ability to communicate effectively with upper management and company employees. Strong organization and time management skills Ability to multi-task with strong attention to detail. Intermediate to advanced knowledge of grammar and punctuation rules (document proofing). ADDITIONAL DESIRED EXPERIENCE IN ACCOUNTING Provide back-up to generate and submit biweekly payroll and payroll tax filings, ensuring all state and federal labor laws and company policies are in compliance. Provide back-up to generate and submit quarterly tax filings (State and Federal). Provide back-up to perform various journal entries, account reconciliations, and general ledger support. Provide back-up assistance in the absence of the AP/AR clerk. PHYSICAL REQUIREMENTS Prolong periods sitting at workstation using computer.
