The Food Bank of Western Mass Administrative Coordinator in Chicopee, Massachusetts

The Administrative Coordinator is the first person to greet people when they arrive at our facility in Chicopee. This position supports the entire organization. The primary responsibilities of this position include reception, mail, project support, office and kitchen supply inventory management, and accounts payable coordination. We also offer an additional \$1.50/hour for Spanish proficiency. SOME OF THE ESSENTIAL FUNCTIONS Serve as first contact for volunteers, vendors, donors, candidate, and other Food Bank visitors. Responsible for reception duties, postal mail processing and distribution, and other general administrative responsibilities. Serve as first contact for incoming Food Assistance Navigation and SNAP clients on the phone or in person. Enter information for intake and make referrals to agency partner pantries, and Mobile food banks. Initial processing of accounts payable vouchers and monitoring of accounts payable email. Responsible for invoice tracking, scanning and analysis for first step of invoice digitization process. Responsible for tracking, copying, and distributing donation in the form of check or cash to the appropriate departments. Download, sort and analyze EFT payments for proper recording and distribution by accessing Food Bank bank account. Responsible for set up, room arrangements, and minutes for Town Hall and Board meetings as well as select committee meetings. Provide administrative and other support for executive, finance, and administration as well as other areas as assigned by the Director of Finance and Administration, the Senior Director of Operations or the Executive Director. Maintenance of front-end phone system including responding to voicemail and changing outgoing greeting when needed Maintenance of office and breakroom inventories and purchasing with trips to local stores approximately every other week. WORKING CONDITIONS Onsite work in an office environment JOB SPECIFICATIONS/REQUIREMENTS Education & Training: high school diploma or equivalent Professional demeanor Two years of office administration, customer service, or retail experience Ability to work both independently, and with a team in a diverse workplace Very good writing skills Solid computer skills in Microsoft Office, especially Word, Excel, and Outlook Well organized with excellent customer relations skills Proven record of punctuality and reliability Ability to maintain confidentiality Experience with major office equipment such as copier, fax, postage meter, printers Access to reliable transportation Excellent customer service skills Ability to handle multiple projects simultaneously and meet deadlines Demonstrated attention to detail JOB PREFERENCES Experience in clerical and administrative tasks including reception, phones, and filing Experience taking meeting minutes Additional customer service experience Spanish proficiency Experience in accounts payable 3+ years administrative experience College coursework
