About the Department
The Dean of Students Office in the Division of the Social Sciences provides critical support structures and guidance to students and faculty and advances the academic mission through an inclusive and student-centered approach. In collaboration with the departments and programs within the Division of the Social Sciences as well as the broader University community, the office supports students\' education and development both inside and outside the classroom. The Dean of Students Office works closely with the Academic Dean\'s Office to set and implement academic, admissions, and financial goals and policies for the Division of the Social Sciences.
Job Summary
The job provides professional support and solves straightforward problems in a broad range of operational business activities in the creation of plans for events programming, marketing, and logistics. With guidance from others, monitors the execution of events.
Reporting to the Associate Dean of Students for Student Advancement and Diversity, the Student Event Manager will manage divisional graduate student programming, including program budgets and student communications to achieve strategic divisional goals, including the support and well-being of a large and diverse graduate student population. Working closely with the Executive Director and Assistant Dean of MA Programs in the Social Sciences, Student Event Manager will organize and execute a variety of MA-specific program events, including both major annual events and more frequent small events. The Student Event Manager will also support the recruitment of new graduate students by planning and implementing programs for prospective students, including the Campus Days for Visiting Students.
Responsibilities
Partner with Associate Dean of Students, Advancement and Diversity to oversee the Peer Mentor program, First Year Scholars program, and Dissertation Incubators.
Plan and organize regular student wellness activities and open social hours for graduate students to meet with the Dean of Students and the Deputy Dean for Doctoral Education.
Working closely with the Executive Director and Assistant Dean of MA Programs in the Social Sciences, organize and execute a variety of MA program events, including both large events like Staff and Student Orientations, annual Career Exploration Events, and the End-of-Year Celebrations, along with more frequent small events, like collaborative writing workshops, and program-specific social and academic events.
Executes day-to-day event logistics, and other moderately complex assignments with some guidance from others.
Sets up any A/V equipment.
Supervises and staffs events.
Provides post-event feedback on turnout and vendor performance.
Create and propose event budgets as outlined by project needs and objectives.
Monitor budgets for events whose support comes from several different departments.
Keeps track of all expenses, and prepares reports on costs.
Write, design, and send monthly Dean of Students email newsletter to students, with input from the DOS team, the Deputy Dean for Doctoral Education, and the Faculty Director and Executive Director of the MA programs.
Develop, maintain, post, and share an annual event calendar with all MA staff and students.
With the SSD Communications Team, produce and maintain marketing materials for events, including social media posts, websites, posters, brochures, and digital display slides.
Generate onsite event materials, such as printing and assembling name badges and other supplies, table tents, basic event signage, etc., following university and divisional branding guidelines.
Collaborates w th the Graduate Recruitment Manager and/or Graduate Recruitment Manager.
Assist with event logistics for MA recruitment events and annual visit days.
Contact prospective and admitted students to answer their questions about the programs.
In collaboration with the Associate Dean of Students, Advancement and Diversity, recommend, develop, and evaluate appropriate intervention strategies to promote student success and persistence.
Work with stakeholders around division to evaluate the effectiveness of activities in achieving program objectives.
Research and propose events that further the strategic goals of the Division.
Communicate regularly with other campus offices that put on student programming, including UChicagoGRAD, Center for Identity + Inclusion, the Office of Civic Engagement, the Office of International Affairs, and Student Wellness, to understand the landscape of student programming around campus and where collaborations would be possible and advantageous.
Proactively contribute to overall team success by presenting ideas, identifying problems, anticipating needs and researching solutions.
