Alumni Relations and Development (ARD) engages alumni (\220k), current students, parents, and friends of the University through intellectual, professional and social activities on campus, around the world and online. ARD raises more than \$600 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute.
The Parent and Family Philanthropy team works with parents of current undergraduates, encouraging them to actively engage with and support the College, thus helping to help fulfill the Dean of the College\'s vision and priorities. In addition to parents, the team works with key campus partners, including Admissions, Career Advancement, and the Dean of Students.
Job Summary
The Assistant Director of Parent and Family Philanthropy serves as the primary administrative lead and point person for the Parent and Family Philanthropy Team, which includes athletics and student philanthropy. The Assistant Director will support the team in their fundraising activities, including monitoring progress with the parent prospect pool, supporting gift officers to maintain portfolio health and integrity, and by ensuring the College\'s top prospects and donors are receiving the highest level of attention.
Reporting to the Associate Director, College Parent Council Management, the Assistant Director will also play a key supportive role in organization and execution of the work of the College Parent Council (CPC) by maintaining accurate data, tracking and implementing key projects, and assisting the Associate Director in planning and executing Council events.
This role provides professional support of assigned development activities with instruction from others. Executes fundraising projects, cultivation programs for prospective donors and for visiting committees.
Responsibilities
- Maintains constituent records and actively supports the creation and management of data, including the preparation of custom and ad hoc reports, spreadsheets, graphs, charts and presentations.
- Prepares special reports and summaries and compiles data, statistics, and other information as needed using various sources.
- Supports the prospect activities of the Parent Philanthropy team by assisting gift officers and the Executive Director in tracking portfolio health and suggesting next steps for key prospects.
- Crafts prospect, visit, and event briefs for University leadership as needed.
- Circulates agendas and notes from parent team meetings.
- Updates the CRM system with accurate notes from CPC volunteer leaders and the Executive Director.
- Tracks and reports on annual progress qualifying and advancing the College\'s parent prospect pool.
- Maintains the Executive Director\'s calendar, exercising considerable discretion and judgment as to priorities and effective use of the ED\'s time, and handles processing of the ED\'s expenses and travel as needed.
- Assists in the day-to-day operations of the College Parent Council such as tracking new families joining the Council and sending welcome emails and gifts;and keeping the Council website and directory updated.
- Reports on key Council metrics to the parent team and College leadership.
- Attends meetings with Council leadership and circulates agendas and notes.
- Assists in running Council events.
- Creates and sends invites, reminders, and follow-up emails for events.
- Manages event data, such as invite lists, registration lists, and attendance lists.
- Updates and manages event trackers and project plans. Alongside the Associate Director, ensures that preparations are proceeding on schedule.
- Attends Council events and supports on-site.
- Stays informed of College programs and initiatives.
- Seeks opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions.
- Has a moderate/high level of authority in drafting informational and marketing materials for review for assigned programs. Assists in developing support materials for specific fundraising activities.
- Plans somewhat complex activities of volunteer and support groups. Recruits members and provides guidance and support to leadership activities.
- Performs other related work as needed.
Minimum Qualifications
Education:
Minimum requirements include a college or university degree in related field.
Work Experience:
Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.
