Job Summary

The primary responsibility of the Assistant Director, Operations is to work closely with the Senior Associate Director of Operations and the Director of Research Systems and Development to provide general office administrative support and assist with a range of tasks related to the operations of the Center, including logistics for the weekly workshops and faculty conferences. This position is responsible for the operational functions of the Center, such as maintaining the website and project database, and assisting with the hiring process. With a keen attention to detail, excellent organizational skills, and a proactive attitude, the Assistant Director, Operations excels at multitasking and problem-solving to ensure the Center operates seamlessly and efficiently.

Responsibilities

  • Manages the finance workshop, finance lunch seminar and banking workshop. This includes catering orders, hotel arrangements for speakers, organizing meeting schedules, and logistics the day of the event.
  • Assists the Director of Research Systems and Development with tasks related to the hiring process of the research professionals.
  • Updates the FMC website.
  • Assists with the managing of all data acquisitions for the Center and supports tracking data renewals.
  • Maintains the FMC project database.
  • Collects and compiles information for the FMC Annual Report.
  • Processes reimbursements for workshop and conference speakers and FMC visitors.
  • Assists with logistics for academic conferences, including maintaining registrations and schedules, and working the day of the event.
  • Manages office supplies and inventory.
  • Performs some routine and complex assignments for the unit usually in the areas of finance, event planning or support ervices. Initiate the hiring process of students and staff for a unit, which includes the processing of payroll.
  • Researches and analyzes data to create reports, and may create other reports for grants and contracts.
  • Performs other related work as needed.

Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.

Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Education:

  • Bachelor\'s degree.

Experience:

  • A minimum two years of administrative and operations experience.
  • Event and program management experience.

Technical Skills or Knowledge:

  • Demonstrated proficiency with MS Office (Word, Excel, PowerPoint, and Outlook).
  • Proficient with payment processing and financial systems.
