Job Description

The Iowa Department of Health and Human Services (HHS) is seeking an Administrative Assistant 1 to join the team at the Civil Commitment Unit for Sex Offenders (CCUSO). This is a full-time position with a 40-hour work week scheduled Monday-Friday 7:00 am – 3:30pm with a 30-minute lunch break. We offer a strong opportunity for advancement, growth, and development.

This position serves as the point person for facility safety coordination which includes:

  • Facilitating CCUSO Hazard Vulnerability Assessment (HVA)

  • Maintaining the Safety$ network computer share by ensuring reports such as HVA, Risk Management, Inspection, and Job Hazard Analysis are completed in a timely manner in compliance with OSHA standards and facility policies.

  • Responding to internal and external requests for safety related program information.

  • Providing a summary report of all Risk Management Activity to the CMHI Safety/Environment of Care Committee and CCUSO Leadership Team summarizing and trending incident activity monthly.

  • Entering relevant data in the CCUSO Dashboard.

  • Facilitating CCUSO’s annual safety survey process.

  • Receiving Phase V Outing requests weekly from the CCUSO Transition Release Program (TRP) patients to create a schedule to be reviewed and approved by the TRP Treatment Team.

  • Tracking information received by the CCUSO Director of Operations, CMHI/CCUSO Superintendent, CMHI/CCUSO Assistant Superintendent and other CCUSO staff members to prepare an agenda for the monthly CCUSO Leadership Team meeting.

  • Processing patient and staff vendor orders.

  • Receiving GPS and rent payments from CCUSO TRP patients each month.

CCUSO provides a secure, long-term, and highly structured setting to treat sexual offenders who have served their prison terms, but, in a separate civil trial, have been found likely to reoffend. The facility provides state-of-the-art treatment to patients to lower their risk of re-offending and to release them from confinement as quickly as possible. There is a full range of diagnostic, treatment, and rehabilitative services focused on addressing the conditions impacting a patient’s likelihood of re-offending.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field.

  • A total of four years of education (as described in number one) and/or full-time experience in accounting, secretarial, or office support work collecting, compiling, reporting, examining and/or editing numerical data; coding and qualifying people for benefits, licenses, or other transactions; preparing and keeping budgetary accounts and projections; organizing and implementing office support operations; advising on procedural processes; or other work that provided direct support and exposure to substantive agency programs, where one year of full-time experience is equal to 30 semester hours of education.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as a Secretary 2, Clerk Specialist, Public Service Supervisor, Accounting Technician (any level), Purchasing Assistant, or Human Resources Technical Assistant
