Spectrum Supervisor, Employee Services Center in Charlotte, North Carolina
JOB SUMMARY
The Supervisor of Onboarding will be responsible for overseeing the pre-employment screening, onboarding, and I-9 administration related processes for Charter Communications. This position will be responsible for monitoring the timely processing of internal and external candidates through the third party administered onboarding system and hiring processes used to assess candidate employment eligibility. The Supervisor of Onboarding will ensure the Onboarding team’s adherence to compliance guidelines, applicable federal, state, and local laws, and Charter internal policies. Candidate eligibility is determined by interpreting data from third party background checks and drug screening providers and applying it to Charter hiring guidelines and standards. The Supervisor of Onboarding will monitor client service responsiveness, ensure Employee Services Center (ESC) goals and Service Level Agreements are met.
MAJOR DUTIES AND RESPONSIBILITIES
Provide direct supervision to the Onboarding team representatives and support escalations for the Employee Solutions Team (EST) within the ESC
Ensure timely and accurate completion of the onboarding process in partnership with the Pre-employment team, Center of Excellence peer groups, recruiting partners, candidates, and employees; monitor timely follow-up with candidates, employees, and other resources to resolve pending matters
Maintain a working knowledge of relevant laws and regulations related to background checks, drug screening and weight verification events for safety roles
Partner closely with HR Technology and Talent Acquisition teams to aid escalations, deliver system enhancements, process improvements, and troubleshoot systems integration issues
Escalate issues in a timely manner to ensure an effective end-user experience, while remaining engaged in resolving the issue
Provide ongoing back-up support for Human Resources projects and support with HR knowledge to cross train ESC representatives as needed
Partner with hiring managers, HR business partners, Corporate Physical Security, Legal and outside vendors to ensure adherence to compliance processes
Perform reviews of policies, procedures, controls, and team members’ performance to ensure compliance with regulations and support process changes as needed
Manage vendor performance in partnership with leadership and lead productive working relationships with vendors, while meeting service level agreements
Provide timely status updates to ESC direct and senior leadership on team performance, project deliverables, system issues root cause analysis and process change recommendations
Support assigned projects related to onboarding, pre-employment, and employment authorization verification (I-9/E-Verify) processes
Facilitate training of new hires and participate in the selection of new ESC talent
Partner with ESC managers, supervisors and team leads with timely feedback on trends and driving excellent customer service delivery
Develop working knowledge of all HR functional areas and ESC processes
Maintain and apply knowledge of Applicant Tracking and Onboarding systems (Charter Hire), HR System of record, HR programs and policies when resolving customer issues or concerns
Build and leverage metrics to govern areas of responsibility, conduct compliance reporting, analyze data on behalf of end users, identify issues and recommend system/process changes based on the results
Provide excellent responsiveness to all communications received from Human Resources, HR Centers of Excellence (COE) peer groups, candidates and employees
Maintain expertise to navigate and accurately record information with business system applications to ensure the highest level of data integrity and confidentiality, including HR systems of record (PeopleSoft/People Central), time tracking (Charter Time), case management (OneHR), query and reporting tools (PeopleSoft/Oracle and Excel) and third party vendor systems support
Identify employee performance issues and support the ESC direct leadership to design, implement and administer performance improvement plans if needed
Ensure required process documentation is updated and maintained
REQUIRED QUALIFICATIONS
Skills/Abilities and Knowledge
Ability to work a flexible schedule, which includes unique hours of the ESC operation - 8:00 AM ET – 6:30 PM ET, Monday – Friday
Ability to problem solve in a high volume production oriented environment
High level of analytical, process and problem resolution skills
Clear and effective verbal and written communication skills
Ability to maintain confidentiality
Possess strong customer service orientation and be extremely responsive to avoid onboarding process delays
Possess a high degree of attention to detail, logical thinking and organizational skills
Exceptional ability to follow-up on outstanding or pending matters
Have excellent investigative skills
Previous experience working with multi-state shared services organization is desired
Demonstrate proficiency in Outlook, Microsoft Word, Excel, and PowerPoint
Must have functional knowledge of PeopleSoft/Oracle
Knowledge of FMLA, STD and all other leave processing
Prior experience supervising people and/or third party vendors
Project management experience preferred
Education
Bachelor’s degree in Business Administration, Human Resources or related field or equivalent training, education, and experience
Related Work Experience
Proven Human Resources experience preferably in an HR Shared Services/Operations Center environment - 5 WORKING CONDITIONS
