Job Summary: The NORM CLT is seeking a friendly, organized, and proactive Office Administrative Assistant to join our team. This role is essential to maintaining smooth daily operations, supporting client inquiries, and assisting with various administrative and marketing tasks. The ideal candidate will be the first point of contact for clients, handle phone calls, manage reservations, support the sales and marketing team, maintain the office calendar, and perform light bookkeeping.

Key Responsibilities:

  • Answering Phones: Greet callers warmly, answer questions about our services, handle client inquiries, and direct calls as needed.
  • Reservation Management: Take and manage client reservations, schedule bookings, and confirm details with clients.
  • Sales and Marketing Support: Assist in implementing sales and marketing initiatives, prepare promotional materials, and help manage social media accounts.
  • Calendar Management: Maintain and organize the office and team calendars, schedule appointments, and arrange meetings.
  • Customer Service: Provide exceptional customer service to clients both over the phone and in-person, ensuring a positive experience.
  • Light Bookkeeping: Handle basic bookkeeping tasks, such as recording expenses, managing invoices, and assisting with payroll preparation.
  • Office Management: Ensure the office is tidy, organize supplies, and support the team with general administrative tasks.

Qualifications:

  • Education: High school diploma or equivalent required; associate's or bachelors degree in business administration or a related field is a plus.

  • Experience: Previous experience in an office administration or customer service role preferred. Experience in sales support or light bookkeeping is a plus.

  • Skills:

    • Strong organizational skills and attention to detail.
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic knowledge of bookkeeping software.
    • Ability to multitask, prioritize, and work independently in a fast-paced environment.
    • Friendly and professional demeanor with a customer-focused approach.
