HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The Administrative Assistant (AA) shall, under government direction, provide administrative support services to assist in meeting mission requirements of the sponsor Department/Appeals Staff and their customers throughout the sponsor's organization

  • The contractor shall protect all customer information and data, and employ discretion and the "need to know" principle

  • The office is seeking an experienced Administrative Assistant to prepare, review, scan, route and mail a variety of correspondence and appeals products

  • Candidate will provide accurate and timely responses to status requests and inquiries and strive to anticipate customer needs with exceptional customer service both verbally and in writing

  • Candidate will maintain standard operating procedures including appropriate tracking in internal databases for efficient retrieval and status inquiries

  • Candidate will handle case files with appropriate discretion and in adherence to guidelines related to Personally Identifiable Information (PII)

  • Candidate will work in partnership with Team Lead to discern incoming requests from attorneys and appellants and ensure accurate processing in a timely manner

  • Candidate will manage work load effectively to ensure correspondence is executed within established timeframes

  • Position requires candidate to move stacks of case files weighing no more than 20 lbs

  • Overtime may become available if approved through appropriate channels on an as-needed basis

  • Occasional travel of approximately 10 to 15 miles to other customer or contractor buildings as necessary in the WMA via POV or GOV as available

  • The AA will use Outlook as a primary means of correspondence with customers and should also be familiar with Sponsor Timekeeping System, Sponsor Security Systems, and Sponsor Internet system. Specialized training and OJT will be provided upon arrival

  • AA will provide miscellaneous support services to various databases to validate and update information

  • Basic Excel skills; Intermediate PowerPoint skills, and Advanced Word skills

  • The AA will be responsible for coordinating accesses for various Sponsor Security Systems and will perform data clean up tasks as appropriate

  • AA will maintain accesses to Department spaces. AA will request appropriate vault access via the Sponsor system and will assist new officers on access procedures for the vault

  • Candidate may assign and oversee tasks to less experienced contract administrative staff

  • Candidate will review, prioritize, and distribute mail

  • The office partners with Appeals Staff to process applicants and contractors who have been denied eligibility and will systematically track and ensure all required documentation and correspondence is executed, scanned and filed in the appropriate case file and accessible to attorneys for further processing

  • The candidate will demonstrate ability to manage and prioritize incoming and outgoing correspondence within established timeframes and must be flexible to changing work requirements

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • Candidate may vary start and end times within core hours of 0900-1500

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site
