Position Summary

 

Southern Utah University invites applications for Administrative Assistant II in the Dixie L. Leavitt School of Business. This is a full-time, 11-month position, to start as soon as possible after closing. The department administrative assistant provides administrative support to the department chair, faculty, and staff in the department. The administrative assistant plans, organizes, and coordinates the administrative affairs of the department. The position will include a variety of tasks, such as managing and monitoring budgets; preparing faculty and staff contracts and EPAFs; preparing reports and maintaining records; purchasing equipment and supplies; responding to student, faculty and administrator inquiries; working with the department chair on planning and developing course schedules; monitoring faculty workload and schedules to optimize faculty productivity, space usage, and student course access; coordinating travel; plan and assist in department and school events; hiring and supervising student workers; and other duties as assigned.

 

Essential Functions

 

• Maintain department budgets by categorizing purchasing card expenditures, filing receipts, and tracking department spending. Provide periodic budget reports to chairs and directors.

• Process semesterly full-time faculty overload and adjunct faculty course pay.

• Assist faculty and students with department related travel arrangements, authorizations, and reimbursements.

• Assist search committees with faculty/staff/student job postings, scheduling interviews, and travel arrangements.

• Assist in tracking faculty professional engagement activities and reporting.

• Assist with course scheduling.

• Plan and assist in department and school events, including scheduling campus spaces and ordering meals/refreshments.

• Supervise student workers, including onboarding, time sheets, and termination.

• Support student clubs by monitoring budget, scheduling events, and year-end reporting.

• Assist faculty/staff with supply and program equipment purchases by either using a university provided purchasing card or by initiating and processing requisitions and purchase orders. Keep an inventory of all department supplies.

• General office duties include greeting visitors to the department and coordinating incoming and outgoing communications.

• Other duties as assigned.

 

Education & Experience

 

Minimum Qualifications-

 

• Equivalent of an associate's degree (60 college credit hours) required, but a combination of experience and college coursework will be considered.

• Working knowledge of Microsoft Word, Excel, and Google Drive.

• Strong organizational skills with the ability to perform tasks independently and with attention to detail.

• Knowledge and experience with accounting procedures.

• Customer service experience with the ability to communicate effectively and work well with a variety of individuals.

 

Preferred Qualifications-

 

• Working knowledge of Banner or a similar student/financial management system.

• At least two years of recent office administration experience.
